Our Client a global tech company are seeking a part time Business Administrator/PA to join their London engineering leadership team to provide on-site support for their Engineering organization located in Paddington. The role will be reporting to the Business Operations Principal and part of the high functioning Business Operations team. In collaboration with the operations team, this role will support the execution of site events, employee programs as well as the site engineering community. This role will heavily focus on workplace/facilities/events support for the engineering community located in London. It is also expected from the role to help hiring managers onboard/offboard employees, submit PO's and good receipt, review site budget expenses and other ad hoc projects (eg speaker events).
This is a contract position that will run initially until 31st December 2025 (extendable for a total of 18 months based on budget and performance) and is a fully onsite position with a 4 day working week.
Responsibilities
Coordinate both virtual and in person events. Taking ownership in areas including catering, venue selection and logistics for internal events, off-sites, speakership series, morale events, large scale meetings and celebration events for London Engineering Community.
Being the point of contact for the engineering community for their on-site support requests and triage and follow up the issues with the right stakeholders
Liaising with partner teams such as IT and Facilities on support areas such as hardware tracking, space planning, office updates and changes and facilities requests.
Daily management of access requests to the engineering floors in partnership with the Security team
End to End support for the company's Procure to Pay Process for supplier payment including PO creation and Budget Tracking.
Manage end-to-end procurement as well as distribution process for swag items
Cross collaborating, planning, and support including site governance meetings, LT meetings, Focused Initiative groups and other group meetings as needed.
Maintaining Distribution lists, security groups and organizational charts for London engineering community.
Assist with other projects as requested by the Business Operations Team
Candidate requirements
Proven excellence in administrative support and event coordination, with a minimum of 5+ years of experience in fast-paced environments.
Strong multitasking abilities with a focus on timely execution and excellent follow-up skills.
Highly organized with exceptional cross-functional collaboration skills.
Proactive problem-solver with the ability to work independently and handle tasks with urgency and initiative.
Demonstrated ability to build strong working relationships across all levels of an organization.
Consistently demonstrates a can-do attitude and a customer service-oriented mindset.
Proficient in Microsoft Office Suite, including Outlook, Word, Excel (standard level), PowerPoint, OneNote, and Teams.
