Background:

West African Vocational Schools () is a nonprofit that equips
youth with life-changing job skills in one of the poorest regions in the world.
WAVS vocational schools train more than 200 students each year while sharing
the message of hope in Jesus.

Summary

We are looking for a highly-motivated team member who enjoys handling a wide
variety of responsibilities, pays close attention to details, and can quickly
adapt to changes within a rapidly-evolving, fast-paced work environment. The
Administration & Accounting Associate will work closely with the Executive
Director and the Marketing and Events Director to help achieve the following
mission-critical objectives within the next two years:

* Adopt a new set of robust cloud-based tools for tracking donor data and
finances.
* Expand a recently launched internship program to grow organizational
capacity for managing an increasing number of administrative tasks.
* Develop industry-standard HR systems and services for team members.
* Ensure that financial reporting meets GAAP standards and is prepared for
independent audits.

In addition, the A&AA will be part of a team that will collectively be
responsible for achieving these fundraising objectives by the end of 2023:

* Double total donor revenue.
* Triple the number of monthly recurring donors.

Specific responsibilities of the A&AA will include:

Administration

* Assist the Executive Director and the Marketing & Events Director with a
wide range of tasks and projects on a daily basis.
* Manage a small group of interns and volunteers who assist with
administrative tasks.
* Help coordinate various meetings, assist with preparing board meeting
packets, and record board meeting minutes.
* Utilize tools including Asana, Slack, Google Drive, Mail Chimp, Word
Press, Salesforce, Canva, and others.
* Work with the Marketing & Events Director to execute successful
fundraising events.
* Assist with updating content on the web site and posting content on
social media.
* Resolve customer service issues with banks, vendors, etc. as they arise.
* Manage the U.S. office, including maintaining adequate supplies and an
organized work environment.
* Coordinate the logistics for teams traveling to Guinea-Bissau (usually
once a year).
* Travel to Guinea-Bissau once every one to three years for two weeks at a
time.

Accounting
* Carry out monthly bookkeeping activities for U.S. and Guinea-Bissau
finances using Quickbooks and Intacct.
* Process checks, issue receipts for donors and vendors.
* Generate monthly financial statements for U.S. and Guinea-Bissau
finances.

Data management
* Input and manage donor data using the Salesforce CRM. Using Zapier,
ensure smooth flow of data from the donation tool to Salesforce to
Mailchimp, accounting software, and other services.
* Generate monthly reports on donor data and giving.
* Maintain lists of custom donor segments, including active, lapsed,
prospective, and newly acquired donors.
* Clean up data on a regular basis.

Donor relations
* First line of communication with current and prospective donors to answer
questions, update donor information, and resolve issues. Respond to
emails and phone calls within 24 hours.
* Consistently carry out donor acknowledgement process.
* Assist in creating and updating collateral and fundraising materials and
publications.

Knowledge, Skills & Experience

* Able to show clear examples of the following:
* Experience effectively working within a team, including in leadership
roles.
* Improved the outcomes of a project for which you were responsible.
* A track record as an effective communicator, both verbal and written.
* We are not looking for an accountant, but an understanding of basic
financial reporting and accounting practices is required. Previous
bookkeeping experience strongly preferred.
* Experience working within fundraising teams is preferred.
* Strongly preferred if the candidate is proficient or very familiar with
most of the following tools: Microsoft Excel, Quickbooks, Intacct, Asana,
Slack, Google Drive, Google Photos, Mail Chimp, Word Press, Salesforce,
Canva, Zapier.

* Ability to prioritize, organize, conduct thorough research, and meet
deadlines.
* Strong interest in visiting rural West Africa for up to two weeks at a
time.
