Contracts Manager

Reporting To: Director Responsible for: Clients / Cleaning Operatives Key Contacts: Clients / Director / Admin team Payroll/HR Core Responsibility: You will be responsible for around 20 sites.
As Client Manager you should be proactive, professional, have a flexible approach, good leadership and management skills as well as work in partnership with the site management and other on-site contractors.
You are required to drive standards proactively and meet deadlines, liaise with people at all levels, work accurately and respect confidentiality of the organisation and the client.
Main Duties:
•To demonstrate the values of the company and lead by example at all times.

•To carry out structured site visits that ensure that specifications are met, and customer expectations are positively managed.

•To coach, develop and mentor the on-site Site Supervisors & Cleaning Operatives to deliver brilliant cleaning standards.

•To manage and work within the labour cost budget on a site by site basis.

•To manage the payment of staff, ensuring that timesheets and medical certificates, new starter and leaver information is collated accurately and submitted to the Admin support within the defined timescales.

•To ensure that holidays are managed effectively through the holiday booking / authorisation forms and BLISS.
Ensuring that there is always adequate cover.

•To coach and support Site Supervisors to find solutions to employee issues.

•To manage all HR and employee relations issues in accordance with the Company HR policies and in consultation with Citation and effectively carry out; disciplinary, grievance and appeal hearings etc where appropriate.

•To ensure that on site teams understand their roles, responsibilities and what is expected of them.

•To carry out audits on your sites
•To complete and submit all necessary paperwork accurately and on time, ensuring sign off where required of completed tasks.

•To ensure the onsite teams having sufficient working equipment, machinery and product to deliver a high level of service to the client as well as ensure that equipment is kept clean and in good working order.

•To be a guardian of the brand of the company and ensure this is reflected in the image and appearance of all team members.

•To ensure that all employees hold relevant paperwork demonstrating their right to work in the UK providing guidance where necessary to site managers.

•To ensure that all staff are trained in and adhere to all necessary legal compliance; records are maintained and updated in BLISS.

•To establish and maintain a weekly travel plan and schedule to ensure your time is effectively used to maximise productivity.

•To ensure that all staff are trained in and adhere to, Health and Safety and COSHH policies and procedures.

•Update our management software (BLISS) as required
•Monitor equipment and carry out PAT testing of equipment as required
•Ensure that cleaning programs are implemented in accordance with requirements
•Client interface.
This will include listening to the clients, taking notes, advising the client when you hope to get back to them, investigating, solving issues if possible and reporting back to clients as promised, keeping the Team informed as necessary.

•Management of directly employed staff including Site Supervisors including recruitment and selection, training, performance management and staff retention.
Working hours:
•You will normally work a minimum of 40 hours per week incorporating a split shift as required, this is because many of the employees work on early morning and early evening cleaning contracts.
Complete flexibility is required, and you will be expected to work such hours as required for completion of your duties.

•Your hours may need to be changed to cover for absences and to meet business needs.
•Excellent organisational and effective leadership skills
•Excellent interpersonal and communication skills
•Ability to be flexible with working hours, willingness to manage change within a diverse working environment
•Ability to work under own initiative and demonstrate effective problem solving
•T Literate
•Proven experience of managing people, ideally across multiple sites
•Proven track record dealing with customers Salary: £21,500K PA + team performance bonus of £2K per year paid quarterly.
