For more information please visit: #removed# JOB DESCRIPTION FIRST is seeking a highly professional and technologically adept individual to provide support to on our Solutions accounts needing assistance with their event and meeting coordination, responsible for managing, supporting and/or executing the coordination of registration and execution of conferences and events. LOCATION: Dallas, TX or Jersey City, NJ RESPONSIBILITIES: Project Management Independent Project Manager responsible for the planning and execution of multiple key corporate events Manage all aspects of the event operation from initial briefing to reconciliation Maintain client liaison and ensure SLA’s (Service Level Agreements) are monitored and achieved throughout the event planning process Field questions and offer advice to team members to assist with creative problem solving Work with the team to ensure adherence to client’s Standard Operating Procedures (SOPs) Be responsible for accurate and timely budgeting and reconciliation of events Create and closely monitor value-adds at every opportunity Share knowledge and best practice regarding new suppliers, services and venues Be proactive with ideas and creative solutions Provide support other team members as needed Management of vendors contributing to events (gifts, printed materials, etc.) Deepen relationships with existing clients and maximize on opportunities to add new events to the portfolio Travel (10-15% annually) for site inspections and on-site management of events to ensure full coordination of logistics and on-site teams Data Management Developing and managing online event registration portals including building registration websites Database management to ensure consistency of information, accurate data, inputting when required, generating lists upon request List manipulation to provide team members with relevant registration data, year on year statistics, and insight into varied elements and event analytics Collaboration with Data team on Mobile App platforms and customized event-related apps Creating and distributing online surveys, electronic invitations, and other registration-related communications Assist attendees with registration process Printing name badges, tent cards, place cards, departure notices, email confirmations, agenda, signage etc. where appropriate On-site support, as needed, during event execution QUALIFICATIONS: 6 – 8 years’ related Event Management experience preferably in a financial/corporate environment Advanced Project Management skills including budget creation, management and reconciliation Bachelor's Degree required High-level conference, meeting and production management and organization experience Excellent supplier knowledge and negotiating skills Strong proficiency with Microsoft Office – Excel proficiency is required Prior experience with event platforms such as StarCite, Cvent, Eventbrite, etouches or other registration website platforms is beneficial but not required preferred Ability to manage multiple projects simultaneously Highly motivated, able to work independently Exhibit strong work ethic, patience and a winning attitude Strong oral and written communication skills Flexible and willing to work outside normal business hours (evenings, weekends) and travel when required ADMINISTRATION & GENERAL: Assume responsibility for own environment, ensuring adherence to health and safety policies while having clean smart surroundings Work intelligently and ensure that the Team Manager is aware of problems or issues which negatively affect productivity Build excellent relations with team through positive communications Ensure knowledge is shared within the team to enable them to work smarter and more efficiently Work on ad hoc requests as required, typically during quiet times
