The Facilities Manager is responsible for managing and leading building and property management and improvements. Oversees daily administration and management of central services, building maintenance, leading facility-related communications, managing vendors, technology and operations to support day to day operations and business initiatives.
Manage & Maintain Facility Operating Systems
•Define and maintain building safety and security protocol and practices
•Ensure a clean and safe office environment including repairs and replacement
•Serve as utilities relationship management, including bill payment and service evaluation and monitoring
•Maintain AAN property and equipment including monitoring, maintenance, repairs, and replacements
•Respond to emergency calls timely, manage emergency repairs or safety concerns as needed
•Oversee building operating systems for optimal performance and effectively manage and maintain effective vendor relationships
- HVAC mechanical systems & controls (BAS Compass)
- Rooftop generator, Liebert AC, UPS maintenance & elevator equipment
- Lighting systems & controls
- Water feature maintenance & controls
- Sensory gardens, snow removal & other external grounds upkeep
- Responsible for service contracts renewals & negotiations
Oversee Central Services
•Manage reception, building security, trash & recycling, room sets, outside organization meetings; staff parking; maintenance and janitorial services to ensure day to day office services are maintained
•Conduct space planning & allocation including office layout, workspace design, and seating chart for staff
•Manage satellite office space procurement and leases, as point of contact
•In consultation with CHRO and CFO assure Facilities Business Continuity and Disaster Recovery Plans are established, tested, and maintained
•Engage with community members and partners to enhance relations including but not limited to neighboring businesses, visitors, volunteers and the surrounding community
•In partnership with internal functions establish training and communication practices that ensure staff awareness and engagement related to building and services
•Provides ongoing reporting and metrics needed for strategic planning, budgeting and other efforts; prepares & recommends annual operating budget
•Monitors annual property tax statements for accuracy and appeals, initiates payment
•Position is responsible for direct employee supervision which includes the selection, training, performance management, compensation administration, and termination of employees.
•Aligns staff work with the priorities of the organization and supports cross function collaborations.

•Associate of Arts/Vocational/Technical Degree in Building/Property Management is required
•Equivalent combination of additional experience beyond the minimum requirement and/or education may be substituted for degree requirement
•Minimum of 5 years' experience managing office building, related mechanical systems and grounds including fiscal management is required
•Previous supervisory experience required
•Demonstrated experience building and maintaining collaborative working relationships both internal and external to the organization.
Additional Knowledge, Skills and Abilities:
•Intermediate PC software skills, including Microsoft Office Suite are required
•Demonstrated process and procedure-oriented with strong attention to detail and deadlines is required
•Excellent time management and organizational skills are required
•Proven excellence in customer service to effectively communicate and work collaboratively with employees, customers and vendors is required
•Dedication to process and continuous improvement is required
•Demonstrated ability to handle confidential information with discretion is required
•Familiarity with project management planning and scheduling is preferred
ADDITIONAL POSITION INFORMATION:
FLSA Classification: Exempt
Travel Requirements: Occasional travel required - approximately 5%.
Location: Minneapolis, MN
Schedule: Occasional evenings and weekends required. Must be able to respond to urgent facility issues and emergencies, if situation warrants which could include evenings, weekends, or holidays.
Physical Requirements: Standard office setting, with ability to sit for long periods of time, occasional use of stairs; regular use of computer and office equipment, lifting up to 10 lbs.
