ROLE PURPOSE
The primary purpose of the Town Planner Project Assistant role is to provide business and planning consultancy administrative support within a busy office environment. This is a hands-on position offering an excellent opportunity for an experienced candidate to help shape and develop the role.
The successful candidate will support all members of the team in delivering high-quality planning outcomes for clients. This will involve adopting a proactive approach to client care and providing support across all stages of project management for planning submissions, from initial client engagement through to project completion.
The ideal candidate will be motivated to develop and progress within the role as the business continues to grow.
PRINCIPAL ACCOUNTABILITIES
- Manage supplier lists
- Ensure insurances are in place for all suppliers and contractors
- Obtaining and chasing supplier quotes for projects
- Updating project trackers daily for small and large projects
- Uploading planning documents for submission
- Downloading documents for client files
- File management
- Registering Planners for Committees
- Chasing validation of applications
- Obtaining consultee responses for client files
- Chasing planning officer responses
- Updating clients daily
- Managing the Company whatsapp
- Email management - personal, general planning and assistance with Senior Management’s emails
- Weekly social media posts and website completion
- Answering the office phone (every afternoon plus cover)
- Compliance matters
- Liaising with contractors, suppliers, architects and clients for updates and case management
- To undertake any other duties in order to meet personal, team and company objectives. This will include but not limited to other planning matters, and professional rural property matters.
SKILLS & EXPERIENCE
The successful candidate MUST have experience in a similar position (not necessarily with planning expertise), and:
- Be a highly organised individual with the ability to take charge of their responsibilities.
- Thrive off administrative tasks, processes and procedures (both following them and feeding into them).
- Be self-sufficient in the home office environment.
- Have strong organisational skills, attention to detail and the ability to multitask.
- Pre-empt needs and come up with solutions. A quick thinker.
- Possess excellent communication skills both verbal and written.
- Be a massive team player, providing help where the business needs it.
- Willingness to roll your sleeves up and help the team out wherever might be needed.
- Have excellent computer skills and willingness to embrace modern technology.
- Have experience with project management software.
- Ideally educated to degree level.

We will break down the responsibilities into 6 months, 12 months and 18 months expectations, with a clear path to success.
It is anticipated that, after the initial 12-month period (subject to performance and training completion), the role will progressively include increased town planning responsibilities, alongside the core admin function.
