Project and Finance Coordination and Meeting Planning Duties
A.1. Designs, prepares and formats forms, simple project reports, presentations and graphs, using various computer programs.
A.2. Assist with preparing program correspondence and medical communication for five clinic sites utilizing computer skills.
A.3. Experienced and skilled with the County Network, Windows, PowerPoint, graphics software programs, and Excel. Types some follow up meeting correspondence and/or simple project reports from draft or verbal instructions.
A.4. Maintain electronic filing system and retrieves files necessary to provide information for meetings, project operations, PCMH administration, or funder reports and deliverables.
A.5. Collect fiscal, budgetary and personnel data related to the program. Assists project manager with preparation of reports as required or requested.
A.7. Reviews, prepares financial backup, and submits project and vendor invoices for payment to the Deputy Health Officer or appropriate Health Department and/or County personnel.
A.8. Works with project manager, HEZ medical practices, vendors, and the Health Department Communications and Marketing team to schedule and coordinate all functions of the HEZ Zone medical practice opening ceremonies.
B. Project Operations and Administrative Duties
B.1. Greet and screen visitors, receives telephone calls, triage requests and correspondence, or refers to appropriate resource.
B.2. Maintain appointment calendar as needed for Deputy Health Officer
B.3. Schedule staff meetings, conference calls, and conference calls and other Zone-related meetings.
B.4. Assist with meeting notes and preparation and distribution of various project meeting minutes.
B.5. Maintain program reports, deliverables, policy and procedure manuals. Review all documents and makes adjustments as necessary.
B.6 Orients projects, Health Department, agency, consultants, vendors, and professional staff to project coordination, finance, operations, and contractual activities in the program or project.
C. Project Contractual Administration, Document Management, and Agreement Coordination
C.1. Works with Contracts to assist in preparation, tracking, planning, and implementing the processes for the vendor agreement mechanisms.
C.2. Works with Contracts and Project
Manager to prepare vendor agreements for each fiscal year in coordination with the project fiscal cycle and requirements.
C.3. Coordinates and assists with review and submission of correspondence and web development communications in collaboration with the Health Department Communications and Marketing team and project staff.
D. Other Duties
D.1. Perform other duties as assigned including but not limited to emergency response, special projects and/or programs that are consistent with the mandates of the Department and public health.
