Bookkeeper (Full Time)
Isley Hawkins Architecture seeks a full time bookkeeper to manage our accounting and financial needs. The candidate will work with our external accountant. Important qualities are good organizational skills, thoroughness and good communication skills. We prefer someone who has worked at an architecture or engineering firm.
We are a seven-person architectural firm. The bookkeeping aspect is expected to take 50% to 65% of your time over a 40 hour work week and is the main role of this job. The remaining time will be in the role of office manager overseeing the main administrative duties in the office such as: evaluating alternatives (for approval by the firm president) for annual renewals of software licenses, medical and dental insurance policies, and professional liability insurance policies, assisting with layout and graphics for marketing proposals, ordering office supplies, and greeting visitors/answering the phone. We do not have a high volume of visitors or phone callers. We need someone who already knows how to be a bookkeeper, has experience in this role, and has a strong knowledge of generally accepted accounting principles. We seek someone experienced with QuickBooks Pro for Payroll. We use ArchAdmin software for the remaining accounting needs and timesheets and will show you how to use it.
The bookkeeper position creates financial transactions and creates financial reports from that information. The creation of financial transactions includes posting information to accounting journals or accounting software from such source documents as invoices to customers, and vendor invoices. The bookkeeper also reconciles accounts to ensure their accuracy.
-Process payroll and associated taxes and withholdings in a timely manner
-Pay consultant invoices, vendor invoices and other bills in a timely manner
-Conduct a monthly reconciliation of every bank account
-Issue invoices to clients
-Ensure that receivables are collected promptly
-Provide information to the external accountant who creates the company’s financial statements
-Maintain an orderly electronic accounting filing system and chart of accounts
