My client is looking for an experienced Legal Administrator to join their team supporting 2 fee earners within their Private Client Department at their office based in Dorchester.


1 To be responsible for managing the activities of any other administrative staff appointed and paralegals.

2 To collate correspondence and other documents delivered through digital dictation, present them to the responsible fee earners in their final format and thereafter sending through the external post daily.

3 To enter back up record of key dates and undertakings in the firm`s central diary, monitoring diary notes and informing of forthcoming events and deadlines as appropriate.

4 Ensuring that all fee-earners bill in-accordance with the firm`s monthly billing procedure, arranging monthly meetings will all fee earners and thereafter reporting to the Finance Partner.

5 Ensuring that all fee-earners prepare and deliver files for review on a monthly or quarterly basis to the to their appropriate supervisor

6 To gather and collate data as required of the firm's membership of the CQS, SQM and other information required by the LAA. As well as being fully conversant with all websites and or portals relevant to the fee-earners needs.

7 Demonstrate a good understanding of IT Skills and liaise with the firm`s allocated IT support and digital dictation provider when required to do so

8 To prepare files for costing, submission of bills to the LAA and securing payment.

9 Organise all fee-earners calendars and draw their attention to important dates/deadlines

10 Demonstrate excellent communication skills by liaising directly with clients in person, by e mail and on the telephone on behalf of the relevant fee-earners when asked to do so.

11 Ensure that stationery and consumables within the office are ordered and full stocked at all times.

12 Support clients by way of regular reporting and providing feedback to fee-earners by way of attendance notes.

13 Dealing with new, current and former clients by telephone and in person, take messages and make appointments.

14 Conducting Conflict of Interest check against Client Database.

15 File Management including


* opening new files and corresponding client index record;

* maintaining current files in neat order ensuring all required documentation is completed and filed;

* liaison with Accounts Department on completion of matters to check account is clear; closing files on completion and archiving

* Filing to be carried out each day

16 To liaise with client, counsel, and court and other third parties as required.

17 To arrange conferences/meetings as requested.

18 To ensure that clients are, to the best of your ability, always kept satisfied and to resolve any concerns promptly and courteously, reporting them as formal complaints for investigation when relevant.

19 To work always in accordance with the policies and practices defined within the Office Manual and to liaise with [the Partners] regarding suggested improvements to any aspect of the quality system.

20 To manage the reception area within the office to a high professional standard.

21 To answer all calls to the office promptly, transferring callers to the appropriate departments or taking sufficiently detailed messages.

22 To manage fee-earners diaries and ensure that all staff are aware of key appointments dates and to deal with routine matters, correspondence and queries on own initiative.

23 To undertake as necessary other duties commensurate with the post e.g. filing, photocopying, faxing, daily banking, dealing with post and the DX both incoming and outgoing, dealing with the collection of rubbish and confidential waste. etc Some of these duties will involve delivering by hand to local banks, the post office and other firms of solicitors.
