Freightserve recruitment are looking for a Freight Project Coordinator focusing on Seafreight for a busy well-established niche Freight Forwarder based in the Hayes, Middlesex area.
Our team is dedicated to delivering on-time, customised event transport solutions to valued clients spanning the world of Live Touring, Theatre, Film, TV and Sport. We work closely with our clients to deliver the most budget-efficient, environmentally aware, time-sensitive solutions, based on the individual requirements of each project.
Job Description:
- Follow, champion and lead by example on all Company's Standard Operating Procedures.
- Liaise with ocean lines and hauliers to obtain best possible rates and securing the booking.
- Assist with organising and delivering logistical aspects of a tour/event as required by the Project Manager.
- Create trusted relationships with clients, colleagues, and other stakeholders.
- Ensure all quotes are raised in BoxTop and followed-up with the client, taking a proactive approach to customers to see if they wish to proceed.
- Timely communication with the client updating them on their shipments.
- Responsible for following shipments, set-up end to end monitoring which may require completion outside of core hours.
- Ensure good practice in shipment tracking by air, sea and road.
- Convert quotes into live projects on BoxTop in accordance with our SOPs.
- Update BoxTop with current job costs without delay so the billing can be actioned.
- Accurately record all job details in BoxTop and Invoice jobs at the earliest opportunity.
- Help assist with preparing ATA Carnets and proactively monitor their tracking.
- Assist with preparing shipment documents such as AWB, customs entries and BOLs.
- Update the warehouse team with details of any expected warehousing requirements, collections, deliveries, freight builds.
- When required assist with any warehouse loads/unloads (under supervision and direction).
- Adhere to any company initiatives to improve efficiencies and contribute to long term operational excellence.
- Ensure that all planned and active shipments are added to the relevant tracking sites at the earliest opportunity.
- Review and assess the importance of all tracking status messages received and bring any anomalies to the attention of the Project Manager.
Essential Skills, qualifications, and experience:
- Previous freight forwarding experience.
- System and process driven with very high attention to detail.
- Dynamic, flexible and always lead by example on our standard operating procedures.
- Effective communicator within a team setting.
- Ability to use own initiative and to escalate matters appropriately.
- Positive and professional attitude and willingness to help when needed.
- Five-year background check.
- DBS background check.
- Flexible to the needs of the business.
