Location: Remote (with occasional travel to London)

Working Pattern: Full-time, Monday to Friday (9:00am – 5:00pm)

About NOVA

NOVA is a growing organisation on a mission to increase the number of women in leadership. We do this by building a trusted, engaged community of over 600 senior female leaders across industries.

As we continue to grow, we are looking for a Membership Co-ordinator & Admin to support and strengthen our existing membership and operational processes, ensuring we maintain a high-quality, seamless experience as we scale.

Why This Role Matters

This is a central support role within the team, focused on delivering a consistent, high-quality experience for our members and ensuring our day-to-day operations run smoothly.

You will report directly to the COO and work closely across the team, playing a hands-on role in membership engagement, administration, and coordination.

You will be stepping into a role that supports established processes and ways of working, with a focus on delivering them consistently and effectively.

You will initially focus on following existing processes across membership, admin, and communications, with the opportunity over time to contribute ideas and improvements as you grow in the role.

Key Responsibilities

You will be responsible for executing existing processes with accuracy and consistency, while building a strong understanding of how our community and operations work day-to-day.

Community & Membership Support


• Manage shared inboxes and diaries across the team


• Maintain accurate and up-to-date CRM and member records


• Support member onboarding and respond to member queries


• Track membership payments and resolve any related queries


• Manage member access to WhatsApp and LinkedIn groups


• Send regular member communications and follow up where needed


• Upload and update content on the website and occasionally social channels


• Create and update simple documents, templates, and reports

Partner & Member Liaison Support


• Join selected partner and member calls to capture notes and actions


• Follow up on actions in collaboration with the COO


• Support LinkedIn-based member communication activity where needed

Event Support (Cover)


• Provide light-touch event support when required (sign-ups, dietary requirements, attendee tracking, venue coordination)


• Gather and record post-event feedback

Bonus Points If You


• Have experience in a membership organisation or admin-focused role


• Have used platforms such as WordPress or Mailchimp (training can be provided)


• Enjoy improving processes and finding more efficient ways of working

Benefits


• Salary: circa £30,000 per annum (with slight flexibility for the right candidate)


• 25 days annual leave plus bank holidays
