We are seeking an experienced Personal Assistant to join our Corporate Communications department on a 12 month fixed term basis.

This individual will be responsible for providing PA support to the Vice President, Corporate Communications, Publicity & Corporate Citizenship. General Manager, Disney Healthy Living EMEA.

The Role
Key responsibilities will include:

PA Support for VP
  • Manage the VP's busy diary to ensure working time is utilised effectively. Maintain regular contact with the VP to ensure the diary is up to date on a daily basis
  • Arrange and co-ordinate timely travel itineraries for a variety of territories for the VP ensuring time is utilised effectively and costs are within budget
  • Manage corporate budget, with quarterly check-ins with finance and Senior Manager, Corporate Comms
  • Use SAP system to raise purchase orders for invoicing and ordering
  • Process expenses on SAP so that the Vice President gets reimbursed in a timely manner
  • Perform PCard invoice collation/coding duties in a proficient and timely manner
  • Maintain subscriptions to magazines/trade press, as well as online services for Communications teams company-wide
  • Create and update corporate and healthy living presentations
  • Organise Communications / PR, Citizenship and Healthy Living conferences
  • Provide first point of contact for internal/external contacts and act as an ambassador for the team.
  • Assist the wider team with room bookings, catering orders, arranging shipments and other ad hoc support
  • Arrange meetings across division/countries for LOB, organise events and activities ensuring appropriate AV equipment and ensure that catering facilities are booked in a timely manner
  • 'Discretion' and 'diplomacy' are required attributes and key to the role

Corp Comms Team Support
  • Coordinate handling of the corporate sizzle EMEA-wide
  • Handle media inbox - distribute queries to relevant department in timely manner
  • Be the point of contact for daily cuttings service, Precise. Quarterly meetings to ensure numbers are kept down ahead of NLA Audit
  • Coordinate with NLA and CLA to annually renew TWDC's copyright fees. Annual audit
  • Review Fact sheets, Boilerplates, Talking Points and minutes prepared by Corporate Comms Intern
  • Prepare presentation documents/visual content for VP, Senior Execs or high profile executive speaker events
  • Provide / update content for corporate website

About You
Suitable candidates will ideally possess the following skills and experience:
  • Proven experience working at Exec level
  • Demonstrable PC skills - Advanced PowerPoint/Keynote, Word & Excel. Knowledge of SAP a benefit
  • Proven experience working in a fast paced environment
  • Exceptional organisational and communication skills
  • Proven ability to work effectively under pressure while maintaining attention to detail
  • Proven ability to adapt quickly to changing priorities, to work on own when the VP is away and to act on VP's behalf
  • Politically astute
  • Ability to act with initiative and with a positive, professional attitude
  • Approachable and accessible
