Private Medical Secretary – Obstetrics and Gynaecology Our client, a Private Obstetrics and Gynaecology consultant, is seeking a Medical Secretary to join their team. The role is a full time permanent role based in Chelsea. The post-holder will provide a comprehensive, seamless and efficient administrative service. The post-holder will often be the face or voice of the practice and must reflect professionalism, courtesy, care and attention to detail at the highest level and be willing to go the extra mile to enhance the reputation of the practice. Duties Responsibilities: To Patients: * Maintain confidentiality of information according to GDPR. * Demonstrate the highest level of empathy and attentiveness in dealing with all patients, and be the main point of contact in the provision of non-clinical support. * Book appointments, operations and investigations, ensuring the timely receipt of results for review. * Manage the bookings and waiting lists between the private hospitals, complying with the booking procedures of each individual hospital and ensuring all parties involved are kept fully informed of the relevant details. * Register patient details accurately, maintain patient files and manage the computer filing systems. * Handle patient and insurance company invoicing queries, process credit card payments and inform Practice Manager/Consultants of any difficulties in obtaining settlement. * Respond appropriately to all telephone calls received during office hours and ensure appropriate messages are left for out-of-hours callers so patients know who to contact in emergencies. * Ensure all messages are responded to in a timely manner. * Inform the Consultant of any patient dissatisfaction in a timely manner. * Ensure all Consultants’ correspondence has been approved prior to dispatch. To the Consultant: * Endeavour at all times to respond promptly to circumstances as they arise and to keep the Consultant informed of work in progress. * Constantly evaluate what information is appropriate to be passed on to the Consultant taking into account the urgency of the issue and the Consultant’s schedule. * Ensure all messages from patients and colleagues are passed on promptly. * Update and inform of clinic data, managing the Consultant’s schedule in sympathy with her personal commitments. * Keep in touch with reception staff and nurses during clinics to establish if there are any delays and anticipating the Consultant’s needs * Assume responsibility for the running of the office if other office staff are sick, on Annual Leave or absent for any other reason, assisting any temporary staff as necessary. Personal Attributes, Skills and Experience: * A willingness to work hard, including occasional long hours or out-of-hours work, and to be contactable by mobile phone or landline to help out in emergencies. * The ability to listen carefully, keep accurate records of conversations and instructions, and relay information correctly at the appropriate time. * The ability to work with speed and precision to ensure that all daily tasks are completed. These include dealing with patient requests on the phone and taking card payments, preparing clinics with all the relevant information to hand, clerking clinics afterwards, audio typing, posting letters, ordering supplies, keeping track of and acting upon results from tests and investigations, maintaining the office filing system, and being compliant with GDPR. * Excellent diplomatic skills on the phone and in person, with patients, medical professionals and embassies. * The ability to think ahead and use initiative, which involves knowing the Consultant’s daily schedule, method of working, anticipating needs, and deciding when is appropriate to contact. * Top-grade secretarial skills including the accurate typing of dictation, setting up a comprehensive filing system, managing stationery requirements * The ability to constantly re-prioritise and re-evaluate due to interruptions in the course of carrying out tasks. * Knowledge of the medical system and terminology, preferably including obstetrics and gynaecology, but not essential. * Previous experience with DGL is preferred * It is essential you have strong audio typing skills
