We have an exciting opportunity for a Personal Assistant to join our team. This position is well-suited to a enthusiastic, highly organised, team member with excellent communication and interpersonal skills.

This position is reporting directly into the Managing Director. As a Personal Assistant you will primary point of contact for internal and external stakeholders engaging with the Managing Director, ensuring the smooth and efficient operation of the Managing Directors office.

Responsibilities:

Executive Support

§ Maintain and coordinate the MD's calendar.

§ Act as gatekeeper for the MD's time and communications, ensuring key priorities are protected.

§ Provide diary and logistical support for other EMB members, particularly for meetings involving the MD.

§ Organise inductions for all new direct reports to the MD.

§ Collate and submit monthly credit card expenses for the MD, Finance Director, Operations Director, and self.

§ Screen and manage correspondence, calls, and requests to the MD with discretion and efficiency.

Meeting and Event Coordination

§ Organise and attend key leadership meetings, including:

§ Prepare agendas, circulate papers, and take minutes, following up on action items as needed.

§ Liaise with the Company Secretary on Board meeting scheduling and materials.

§ Coordinate the MD's participation in internal and external events, including speaking engagements.

Internal Communications & People Initiatives

§ Lead coordination of employee engagement and recognition programmes:

§ Support planning and delivery of:

§ Act as a trusted liaison for People & Culture updates, sharing and collating communications.

Operation & Administrative Support

§ Manage the company's Amazon business account and purchasing processes.

§ Organise and oversee hospitality arrangements for key visitors or events, including travel, hotels, and itineraries.

§ Build and maintain relationships with preferred hotels; manage rate agreements and renewals.
