My client, a leading Bolton based, Lettings organisation, are looking to recruit a 12-month Fixed Term Contract, an Office Manager to support a team of 5 Lettings Administrators. This is a full-time, role and potentially could lead to a permanent position. My client has advised any applicants that will be considered must have Lettings experience.

  • Salary £29,000 - £31,500
  • Working Hours –9.30am to 5:30pm
  • Location: Bolton (Centre)
  • 34 days holiday (including Bank Holidays)

Role Purpose

The work involves overlooking both student & residential lettings team and dealing with landlords across the portfolio of properties.  Working as part of a friendly lettings team, duties will include dealing with a range of tasks in relation to letting of student/residential accommodation & managing the office on a day-to-day basis.

Responsibilities

  • Day to day running of the office & creating monthly rotas (dealing with any holiday requests, time off etc) 
  • Liaising with all landlords via Landlord Enquiries email. General enquiries are to do with rental statements, status of property & any charges they might have on their statements 
  • Regular meetings with the team and business director 
  • Dealing with complaints 
  • Getting the weekly bookings/signed contracts from the student team and sharing with management 
  • Dealing with sales enquiries when a landlord is selling or purchasing a unit
  • Liaising with solicitors/sales agents 
  • Progressing enquiries, managing maintenance requests, and organising tenant check in schedules, using bespoke IT software
  • Ensuring customer care is always a priority 

Specification

  • Proficient IT skills (ability to use Microsoft Office programmes (including Word, Excel), Outlook
  • Excellent communication skills, both verbal and written
  • High level of customer service skills.
  • Excellent organisation/administrative skills.
  • Ability to organise and prioritise own workload to successfully complete the duties of the role, proactive self-starter.
  • Ability to work on own initiative
  • Flexible approach, not ‘role’ driven, experience of ‘small team’ environment
  • Good team working skills
