IFA Administrator - Financial Services

We are recruiting for an enthusiastic and detail-focused Administrator to join a growing financial planning firm. This role offers an excellent opportunity to build a long-term career in wealth management, with full support toward industry qualifications and professional development.
Working alongside a Financial Adviser and wider support team, you will play a key part in preparing client recommendations, maintaining accurate records, and delivering a high level of client service. While the role includes client contact, you will not be required to give regulated financial advice.

Key Responsibilities
- Support Financial Advisers with administrative, technical, and client-servicing duties.
- Prepare and maintain accurate client records in line with company standards.
- Research a wide range of financial products across pensions, investments, and protection.
- Liaise with product providers to gather and validate policy information.
- Maintain an organised pipeline of new and ongoing business, ensuring timely updates to clients and advisers.
- Send and track Letters of Authority.
- Collate and review client policy, investment, and pension information.
- Use research tools such as Selectapension and FE Analytics.
- Submit new business through internal and external systems.
- Prepare pre-sale and post-sale documentation.
- Manage the annual review process, including contacting clients and coordinating review meetings.
- Process new business and ensure all quality checks are completed.
- Monitor trail fees, reconcile payments, and manage invoicing where applicable.
- Provide general administration and client service support as needed.
- Keep up to date with industry and regulatory changes.
The Ideal Candidate
- Experience in a similar administration role within financial services is desirable.
- Ability to build strong working relationships with advisers, colleagues, and clients.
- Strong attention to detail and excellent organisational skills.
- Confident communicator with a professional telephone manner.
- Good IT skills, including Office 365 and financial research tools.
- Able to manage deadlines and prioritise effectively.
- Comfortable working independently and as part of a team.
- Working towards a Diploma in Financial Planning is preferred but not essential.
