ZTP is an expanding and successful energy consultancy and software company, working with nation-wide corporate and I&C clients. Our service offering is centred around our industry leading energy management and purchasing software solutions Trace and Kiveev, which are designed and built-in house. Consultancy services include gas, electric and water contract negotiation, contract and risk management, query management, cost/consumption forecasting, budgeting, energy reporting, billing validation and invoice recharging. Software services include the provision of SaaS offerings to major energy users and competing consultancies.

ZTP is targeting sustained growth in both consultancy and software offerings, with expansion of our Net Zero offerings and international expansion plans in existing clients and new exciting sectors. Our expansion into Net Zero and ESG (environmental social governance) services help our clients do their part in the fight against climate change.

The Role

As a Billing and Debt Manager, you will lead and integrate the Billing and Debt teams, ensuring seamless collaboration and operational excellence. This role is responsible for overseeing all aspects of billing validation, debt management, and quality assurance, ensuring that bills are validated, delivered and paid on time, and that debt is managed proactively.

Our bill validation service helps our clients save money, through the resolution of incorrect invoices, and enables effective reporting of cost and consumption, which sits at the heart of our vision to help companies be ecologically and financially sustainable.

This role is responsible for accurate and timely validation, management and reporting of our clients' utility bills, ensuring that supplier errors and savings are identified and brought to a resolution. This role will drive process improvements, ensure high standards of client service, and foster a client-centric, high-performance culture.

Main Duties & Responsibilities

Leadership

*Lead, coach and develop the team leaders, fostering a high-performance culture. Set goals for the team that align with the Consultancy and wider ZTP goals. Conduct 121s and performance reviews.

*Coach and develop team members, promoting professional growth and ensuring high performance standards. Support the team with improving accuracy, efficiency and attention to detail.

*Foster a culture of collaboration and knowledge-sharing between the billing and debt teams, encouraging joint problem-solving and continuous improvement.

*Effectively manage resource allocation, workload distribution, and project assignments to optimise team productivity and client satisfaction. Ensure adequate coverage for all client accounts and operational needs.

*Responsible for escalated queries, or complex validation.

*Monitor and manage team performance against SLAs and KPIs, implementing corrective actions where necessary to maintain high standards.

*Conduct regular team meetings to communicate updates, resolve issues, and share best practices.

*Identify training needs and support professional development for all team members, ensuring skills and knowledge remain current and relevant.

Operational Excellence

*Oversee the end-to-end billing and debt management process, ensuring bills are obtained, validated, and delivered on time.

*Ensure missing bills and invoices in query are proactively managed, with teams working together to resolve issues with suppliers.

*Drive operational efficiency and process innovation, leveraging ZTP's software platforms

Quality Assurance

*Implement robust quality assurance measures to ensure consistently high standards of service and product excellence.

*Conduct quality checks on completed validations, and debt reports to ensure accuracy and compliance with standards.

*Complete periodic audits of the validation process and implement corrective actions as necessary.

*Ensure all processes meet internal and external standards, with regular SLA and KPI reporting.

*Lead regular process reviews and audits across both teams, identifying areas for improvement and implementing best practices.

*Ensure consistency in quality assurance standards, validation procedures, and reporting across all client accounts.

Reporting

*Oversee internal and external reporting on billing and debt, including client KPI packs and senior management updates.

*Analyse data to identify trends, recommend improvements, and support decision-making.

Collaboration, Stakeholder Engagement & Relationship Management

*Develop and maintain strong relationships with energy suppliers to enable the effective delivery of contracted services.

*Attend client meetings as required.

*Work closely with the account management teams to ensure client satisfaction and retention.

*Collaborate with our internal teams to ensure our internal systems are updated with accurate information / data to maintain accuracy.

*Collaborate with the Services teams (debt, accruals, recharging) to support in the effective delivery of these ZTP services.

*Attend supplier meetings to report on billing and debt performance.

*Act as an escalation point for complex queries.

Continuous Improvement

*Drive innovation in the teams' processes, leveraging our software.

*Spot inefficiencies with systems and processes and suggest changes or developments

*Drive operational efficiency and effectiveness across the team, optimising processes, systems, and resources to maximise productivity and minimise costs.

*Stay updated with industry developments, to ensure that the ZTP systems and products are being developed to meet our clients' requirements.

Person Specification

**Essential Knowledge Requirements**

*Strong understanding of the energy industry.

*Excellent understanding of the bill validation process, and all elements of a utility bill.

*Good knowledge of Microsoft packages (Outlook, Teams, Sharepoint, Onenote).

*Intermediate Excel, such as pivot tables, lookups, concatenate.

**Essential Experience Requirements**

*3+ years' experience in an Energy Consultancy / Bill Validation, including knowledge of bill validation software.

*Min. 1 years' experience leading a team.
