We are delighted to be recruiting on behalf of a highly reputable and long-established Financial Planning practice, who are seeking a Part-Time IFA Administrator to join their friendly and professional team. This is an excellent opportunity for an experienced financial services administrator looking for a varied and rewarding role within a supportive environment.

Working closely with the Practice Manager, advisers and paraplanners, you will play an integral part in the smooth running of the firm’s client administration and technical support functions.

The Role

Your responsibilities will include:

  • Preparing files for client review meetings and new client sign-ups
  • Preparing first-appointment documentation
  • Processing withdrawals, including calculations to determine the most suitable option
  • Processing fund switches
  • Sending and chasing Letters of Authority, reviewing returned information, updating clients weekly, and maintaining checklists and plan summaries
  • Handling review meeting follow-up actions such as fund switches, withdrawals, compliance documentation, and CFR updates
  • Keeping paraplanners and advisers updated on LOA progress and administration tasks
  • Managing general client and provider queries
  • Handling incoming calls and reception duties when required
  • Scanning, filing, and maintaining accurate records
  • Liaising with paraplanners regarding new business requirements
  • Submitting applications during busy periods
  • Supporting seminar and company meeting preparations
  • Attending training workshops and webinars as required

This is a 24-hour-per-week position, which can be worked over 3 full days or 4–5 shorter days, fully office-based.

About You

We are looking for an individual who can demonstrate:

  • Previous experience in a similar financial services administration or technical support role
  • Strong communication skills and a calm, friendly approach
  • Excellent attention to detail and accuracy when handling data
  • Ability to work both independently and as part of a team
  • Strong organisational skills with the ability to manage competing priorities
  • Up-to-date awareness of financial services regulation and legislation
