The Role
As a Defect Coordinator, you will play a key role in managing and resolving property defects, acting as the central point of contact between internal teams, suppliers, and external stakeholders.
You’ll ensure issues are handled efficiently, communication is clear, and service levels are consistently delivered to a high standard.
Key Responsibilities
- Act as the main point of contact for defect-related queries from Property Managers
- Log, triage, and track defects using internal systems (e.g., FixFlo)
- Coordinate with suppliers and internal teams to ensure timely resolution
- Liaise with agents, developers, and third parties to progress outstanding issues
- Hold regular meetings with developers to review and drive SLA performance
- Maintain accurate records across systems, spreadsheets, and shared platforms
- Keep stakeholders updated on progress, timelines, and key milestones
- Manage calendars, appointments, and communications effectively
- Ensure all documentation and correspondence is accurately logged and filed
- Provide general administrative support to the wider team
Requirements
Essential:
- Minimum 2 years’ experience within the property sector (residential or commercial)
- Background in new home repairs/defect coordination
- Strong organisational skills with excellent attention to detail
- Confident communicator, able to manage expectations and build relationships
- Ability to work under pressure and prioritise workload effectively
Desirable:
- Experience using Microsoft Office and defect management systems (e.g. FixFlo)
