Logistics Executive(maternity cover)Ref: WL46711An established, international trading company is seeking a Logistics Executive for maternity cover.Your responsibilities will include end-to-end shipping coordination, documentation, inventory control, and communication with freight forwarders, hauliers, shipping agents, and customers.Ideal candidates should have UK and European shipping experience to help the London-based Logistics & Operations team.Type: Contract, full-timeSalary: £35-38k, depending on experienceWorking Hours: Monday to FridayStart Date: ASAPLocation: London (Office-based (NW10) with 1 day working from home after probation)Logistics Executive Main Responsibilities:
- Manage shipping operations for assigned customers/geographic zones
- Process POs and SOs in line with agreed timelines; flag any issues in advance
- Accurately enter all orders into the ERP system and ensure 100% data accuracy
- Prepare and check all shipping documents as specified in SOs
- Track open and pending orders from start to finish, ensuring zero-cost delays, demurrage, or customs issues
- Liaise with freight forwarders/hauliers to book shipments, secure competitive rates, and correct shipping documents
- Coordinate loadings with suppliers/warehouses, arrange customs clearance, and ensure timely, trouble-free deliveries
- Maintain stock sheets, monitor inventory, and report reorder points (ROP) as needed
- Ensure export/import documentation complies with destination country requirements and customer instructions
- Liaise with Sales Managers to communicate any shipment updates, problems, or delays
- Complete supplier/customer SAQs or RFQs when required
- Support the Senior Shipping Manager with freight rates, audit follow-ups, compliance, or other administrative tasks
- Step in to cover colleagues’ files during absence as needed
- Present status updates on your files at monthly Operations Meetings
Logistics Executive Ideal Candidate:
- University degree preferred, ideally in Supply Chain, Logistics, or International Trade
- Minimum of 4 years’ experience in an import/export logistics or shipping department
- Clear career progression and stability (minimum 2 years with one employer)
- Experience handling UK/EU and international shipments (tank trucks, ISO containers, drums, IBCs)
- Strong knowledge of international shipping terms and procedures (Incoterms, demurrage, shipping contracts, DG/flammable goods)
- Understanding of customs clearance and bonded warehouse processes (HMRC excise compliance desirable)
- Excellent Excel skills and good general IT/ERP system experience
- Fluent written and spoken English
- Highly organised, detail-oriented, with strong communication and problem-solving skills
- Proven ability to multi-task, prioritise, and stay calm under pressure
- Professional attitude and passion for excellent customer service
- Team player who can also work independently
- Previous experience in the spirits or alcoholic beverage sector is an advantage but not essential
