Scholars School System is a project of UK CURRICULUM & ACCREDITATION BODY (UKCAB, a registered charity founded in 2006) having campuses across the United Kingdom, is looking for a Human Resource Manager across all campuses which includes Birmingham, Manchester, London, Braford and Leicester based in the Birmingham campus.
Scholars School System is a national independent higher education provider, offering world class education. Taught programmes, ranging from Foundation Year through to Level 7, delivered in partnership with institutions such as Leeds Trinity University. Over 5000 (UK and EU) learners have successfully completed their learning journey in the last five years with the current student population is over 3000
Purpose
The Front Desk Administrator serves as the first point of contact for students, staff, visitors, and external stakeholders. The role ensures the efficient operation of the reception area and provides high-quality administrative support to maintain professional standards and smooth day-to-day campus operations.
The post holder will represent Scholars School System in a professional and welcoming manner, supporting the delivery of excellent customer service and contributing to the overall effectiveness of administrative and operational services.
Principal Duties and Responsibilities
- Greet and assist students, staff, and visitors courteously and professionally, provide assistance or redirect them appropriately
- Handle incoming calls, emails, and in-person enquiries, directing them appropriately.
- Manage staff, student and visitor sign-in/out procedures and ensure compliance with safeguarding and health & safety protocols.
- Maintain a professional and tidy front desk and reception area.
- Process incoming and outgoing mail and deliveries efficiently.
- Provide general administrative support, including filing, scanning, and printing.
- Assist with student enquiries and support student services.
- Provide administrative assistance, taking building rounds and completing building checks, reporting to Operations and Admin of any updates.
- Support induction processes for new staff and onboarding activities as required.
- Keeping a record of staff leaves, requisition forms, and other forms as required.
- Answer incoming calls and assume other receptionist duties when needed.
- Coordinate room bookings, meeting schedules, and hospitality arrangements
- Keep a record of WhatsApp tracker on a daily basis
- Responsible for overseeing the centre Cleanliness
- Keep a record of Attendance/ leave/ absences
- Assist with student attendance logging, submission of reports, and maintenance of accurate records on Vieu and Teams.
- Monitor office inventory and assist with procurement as directed.
- Maintain up-to-date awareness of health and safety procedures, ensuring front desk compliance.
- Report any maintenance or safety issues to the Centre Manager promptly.
- Assist during emergency evacuations and ensure sign-in sheets are up to date for accountability.
- Support the Centre Manager in implementing campus operational plans and events.
- Maintain confidentiality and handle sensitive information in line with GDPR and institutional policies.
Role requirements
- Must have a Bachelor’s degree
- Minimum 2 years of experience in admin role in education
- Excellent IT skills, particularly MS Office365; Outlook, Excel and Word
- Maintain professional conduct and discretion at all times.
- Display excellent communication and interpersonal skills.
- Be flexible and adaptable to meet organisational needs.

- Good understanding of administrative processes and practice.

Benefits
- Salary range is £27,000 - £30,000.
- Holiday entitlement is 28 days annual leave plus bank holidays
- Up to £5k annual incentives pro-rata given quarterly on meeting KPIs upon successful probation period
- 5% annual increase per year on completion from your start date of service and on meeting KPIs
