An exciting opportunity has arisen for an enthusiastic Business Administrator to join our client on there Learning Disabilities and Autism Programme teams. As an Administrator, you will play a key role as a member of a dynamic, transforming team supporting the client.

We are looking for individual who have experience of working in an admin role or have the relevant transferable skills to do so, in order to ensure the smooth running of our administrative processes.

The post holder will work across the LDA Programme team to ensure efficient delivery of secretarial and administrative support and contribute to the successful running of the projects and workstreams feeding into the programmes as a whole. Responsibilities will include setting up and managing client records, data entry, setting up meetings, minute taking, managing the generic mailboxes and responding to queries, and supporting the team with diary management and stakeholder engagement events.

1. Main Tasks and Responsibilities

· To provide a single point of contact by monitoring the generic mailbox and forwarding any emails to the relevant members of the team, responding to general enquiries in a polite and courteous manner.

· To attend meetings and disseminate information as required. This will involve preparing documentation and taking and transcribing minutes of formal meetings and following up on any actions.

· To communicate clearly, effectively and appropriately with all members of multi-disciplinary teams, management teams and service users on a range of sensitive and/ or complex service issues and non-clinical advice. To use communication techniques to gain agreement and co-operation where there may be barriers to understanding i.e., English as a 2nd language or special educational needs.

· To participate in discussions and/or provide information for reports regarding departmental activity and progress.

· To maintain patient confidentiality at all times.

· To monitor and update effective paper and computer-based reporting systems to ensure a clear and concise audit trail is kept of all activity including financial transactions.

· To respond to requests for information from the CCG management and other members of staff.

· To manage and prioritise own interruptions

· Support the workload of the workstreams, under the management of the Programme Lead to achieve agreed objectives.

· To work within departmental and the individual CCG's corporate policy and procedures, NHS guidelines and regulations. Using your own professional knowledge and judgement, analyse situations where a range of solutions is available, to decide appropriate actions and responses. Referring to line management any sensitive, ambiguous or highly complex issues, and propose changes in working practices or procedures when appropriate
