STUDIO MANAGER AND PERSONAL ASSISTANT

A brand innovation and sustainability agency are looking for a driven and dedicated Stuido Manager to join their growing team. They help their clients grow by doing good and building brands that people can really believe in.

They work on brand purpose and responsibility briefs, shaping ideas that matter for people, communities and the wider world. 
  
THE ROLE

Personal Assistant
  • Personal Assistant to 2 Directors  - extensive diary & travel management
    • ensuring all invites have an agenda and prep time is booked in
Office Management
  • Manage all contracts and supplier relationships within the office
  • Oversee all Operational budgets and forecasting
  • Manage any office move (estimated 2020)
  • Oversee all office improvements, refurbishments and maintenance 
  • Organising and management of company events and away days
  • Line management of the Studio Assistant
  • Accountable for overall day to day running of the studio
Recruitment & HR
  • Checking recruitment@ email address
  • Managing recruitment process - working alongside the senior management team
    • inbound emails, setting up a database to file candidates & respond to them
    • Managing interviews with candidates
    • Ensuring senior team adhere to process and prioritise correctly
    • Managing relationship and recruiters and overseeing contracts
    • Proactively looking within the agency network/LinkedIn to seek potential candidate
    • Overseeing onboarding process - managing all contracts and documentation
Resource management
  • Working with Creative Director and senior team to help manage resource flow within the studio
  • Receiving all un-resourced project requests and set up process to then allocate work load to the internal resource, or freelance
  • Manage and grow our freelance database - be the first point of contact to assess skillset and invite them to be on the books
  • Set up contracts and negotiate rates with freelance
  • All freelance request to be sent to you for approval and allocation

  • Experience in a creative/production based agency

  • PA experience working with Director level
  • A people person who is helpful, friendly, goes above & beyond
  • A good team leader - motivational, constructive feedback, support with career progression
