The Senior Registry Officer is a key operational role within Academic Services, responsible for leading and coordinating complex Registry processes across the student lifecycle - from enrolment and progression to assessment, graduation, and records management.

The postholder must be an experienced Registry professional with a deep understanding of Higher Education administrative frameworks. They will work closely with the Deputy Head of Academic Services (Operations) to deliver robust operational services, improve systems and processes, and support and train colleagues to ensure consistent, high-quality service delivery.

This role does not carry formal line management, it provides day-to-day supervisory oversight within the Registry team, offering functional guidance, acting as a subject matter expert, and serving as a key escalation point. Operational and overall team leadership remains with the Deputy Head.

Leadership and Expertise

  • Supervise and undertake complex areas of Registry work such as results processing, progression tracking, exam board administration, and graduation readiness.
  • Act as an escalation point for complex or non-routine queries and process issues.
  • Provide technical support and assurance in the use of student records systems (e.g. SITS) and spreadsheets used for critical operations.

Process Improvement and Systems Support

  • Identify and implement enhancements to existing manual workflows, ensuring better accuracy and efficiency.
  • Support the Deputy Head in liaising with IT and MIS to improve system functionality and develop tools (e.g. SRLs, reporting templates).
  • Document and maintain standard operating procedures for key tasks.

Staff Development and Training

  • Support the induction, training, and development of Registry Officers and temporary staff.
  • Champion consistency and knowledge-sharing across the team to build resilience and reduce error rates.

Service Delivery

  • Contribute to the delivery of student-facing services, ensuring that Registry functions are responsive, accurate, and aligned with institutional policies.

Take the lead on Registry contributions to key university events such as Matriculation, Examinations, Results Processing, and Graduation.
