Criminal check undertaken before startingOur client is seeking a School Secretary to work in their busy sixth form area to start in January for 1 month but could be longer. You will be required to deliver high-quality secretarial and administrative support to the Director of Sixth Form and Sixth Form leadership team, as well as the Director of Wellbeing & Futures. The role is central to the effective administration of Sixth Form pastoral and academic processes, university applications, and Futures-related events, while also contributing to the wider work of the School Office. You will be the key point of contact for Sixth Form students, parents and external stakeholders, fostering positive relationships and ensuring a professional, welcoming and efficient service.

Your role:

Sixth Form Administration

Provide day-to-day administrative and secretarial support to the Director of Sixth Form, Assistant Director of Sixth Form, pastoral Heads of Year and Deputies.
Assist with the administration and organisation of university entrance procedures, including UCAS applications.
Maintain accurate records and tracking systems for pastoral and academic concerns.
Attend Sixth Form tutor and section meetings, take and upload minutes in a timely manner.
Produce and distribute correspondence and communications for Sixth Form and the wider School Office as required.
Assist with the production of academic transcripts and documentation for international university applications.
Support the booking and coordination of Sixth Form "Specials" (bi-weekly guest speaker programme).
Administer Sixth Form parking and locker requests, including issuing and collecting permits and keys.
Maintain and update student records on the iSAMS database and produce reports as required.
Update and maintain leavers' destination data on iSAMS.
Record academic rewards for Sixth Form students and prepare correspondence to parents.
Act as the first point of contact for Sixth Form students, parents and external enquiries, including matters relating to parking, lockers and parent meetings.
Work closely with the Director of Wellbeing & Futures to support the administration and organisation of Futures-related and wellbeing events across all sections of the School.
Assist with the organisation of the Futures Convention and other related events, liaising with relevant school offices as required.Person Specification

Essential

Relevant secretarial or administrative experience appropriate to the role.
A minimum of two years' experience working in a busy office or school office environment.
Excellent attention to detail and a commitment to high standards of accuracy and presentation.
Ability to work collaboratively as part of a team while also using initiative and working independently.
Highly organised with strong time-management skills and the ability to prioritise competing demands.
Calm, patient and professional approach, particularly in a busy environment.
Flexible and adaptable attitude to work.
Strong interpersonal skills and the ability to build positive relationships with students, parents and colleagues.
Excellent written and verbal communication skills, including confident telephone manner.
Ability to maintain the highest levels of confidentiality and discretion.
Strong IT skills, including Microsoft Word, Excel, email, SharePoint and the use of administrative databases.
Educated to GCSE grade C / grade 4 or above in English and Maths (or equivalent).
