Job Description
We're hiring an organized administrative assistant to provide extraordinary customer service. Responsibilities include answering all phone calls and emails quickly and kindly, making existing office systems more efficient, buying materials for the office as needed, and planning travel arrangements and appointments for employees. You'll also support the team by marketing the company and planning company events. Candidates should be great communicators who are driven and have great time management skills. The Receptionist works closely with the Executive Director, Business Office Manager, and the Community Relations Director in preparing reports, completing needed assignments, and corresponding with Avant as required by company policy.

Marketing Back-up Support:
In the event that other staff is unavailable, the Receptionist will take telephone and in-person inquiries, gather information and fill out an Information Card, provide a tour when necessary and promote the facility to the prospect. Communication with the Community Relations Director, the Business Office Manager, and the Executive Directorin a timely manner on these instances is vital.

Working the Reception Desk:
The receptionist will be responsible for the reception desk. When working this position the receptionist is responsible for greeting all visitors in a friendly manner and directing them to the appropriate person. Answering the phones promptly and pleasantly and providing assistance to the caller as warranted. Communicating with all staff on emergency call requests and directing staff to appropriate locations. Providing assistance to other staff with forms, signs, and requests that requires secretarial work. Sort mail to the appropriate location.

Safety Compliance:
The receptionist is responsible for ensuring that they and any employees reporting to them work in a safe manner and that unsafe actions are to be managed. Compliance with Safety Committee Standards is required. Should workplace injuries occur, the Department Heads and Directors are to assist the Executive Director when required with the investigation, return to work, and management of the injured worker communication with the care provider and Avant.Team Effectiveness:

The Receptionist is responsible for fostering teamwork with co-workers, showing initiative in overcoming obstacles, taking actions that assist others beyond job responsibilities, and having a positive impact on co-workers, residents, and visitors.

Perform other duties as assigned or needed.

  • Proficient in basic computer software and can quickly learn to use new programs
  • History of being deadline-driven and extremely organized
  • Customer service experience in our industry is preferred
