Billing & Business Administrator at top International Law Firm: to £40,000

Our Award-Winning client is currently looking to hire a new Billing & Business Administrator to join the growing Patents team on a permanent basis, focusing on Month-End, in addition to assisting the Business Group with Billing and Working Capital queries including conducting WIP review meetings. Responsibilities will include end-to-end preparation of bills for a number of specific clients, working closely with the Partners to ensure the bills are prepared to the required standard, signed off, and ready to be sent to the client by strict deadlines, regular review of time recording narratives to ensure these are of a standard accepted by clients / relevant ebilling systems, managing third part disbursements, including ensuring these are received promptly from third parties, liaising with third parties on any disbursement revisions, processing the firm’s bills, and ensuring the billing guide adequately supports time or disbursements removed and compliance checks are completed. Other duties will include the preparation and processing of a number of complex multi-matter bills and foreign currency bills as required, providing training / guidance to Partners, fee earners or secretaries on billing as required, dealing with all billing related matters including time transfers, anticipated time, fee allocations, WIP and bill write offs, bill reversals and credit notes, providing support with uploading bills into the ebilling portals as necessary and ensuring that any resulting queries are followed up with the fee earners and relevant counterparts and corrected in a timely manner, regular review and maintenance of WIP on relevant matters, including processing of write offs where necessary and conducting WIP review meetings as required. Candidates need to have previous billing experience within a law firm, experience with working directly with senior stakeholders, excellent communication, organisation and interpersonal skills, working knowledge of the SRA and VAT.
