My client is a legal firm based in Fareham who is looking to add a Legal Assistant to their Residential Conveyancing team.

Job Duties

* Accurately and efficiently type correspondence, draft documents, engrossments, and open files within the Case Management system, including copy typing as required.

* Ensure all typed materials are thoroughly spell-checked and proofread before submission to the Fee Earner. Work should be completed in the order provided unless instructed otherwise.

* Make full and effective use of the Case Management system for preparing correspondence, telephone notes, and related documents.

* Answer incoming telephone calls promptly and professionally, always maintaining a polite and helpful manner.

* Provide assistance with general enquiries related to the Fee Earner's matters where appropriate.

* Record telephone messages clearly and accurately, including the client's name, contact number, date, time, and details of the enquiry where possible. Set realistic expectations for call-backs.

* Coordinate with the Fee Earner regarding procedures for including direct dial numbers on correspondence and handling calls received via Reception.

* Greet and attend to clients on behalf of the Fee Earner, both in Reception and via telephone, for routine matters such as scheduling appointments or collecting documents.

* At the Fee Earner's request, send appointment confirmations to clients, reserve interview rooms, and initiate new client files.

* Open new files in the Practice Management system as directed by the Fee Earner and retrieve archived paper or electronic files when required.

* Collect cheques from the Accounts Department or Branch Manager, process them accordingly, and update relevant files.

* Regularly archive completed files, both paper and electronic, in accordance with firm procedures.

* Ensure files are available and prepared for all scheduled appointments. Verify the Fee Earner's diary for off-site meetings to ensure files are delivered in advance.

* Collect and distribute post, sorting items for individual Fee Earners.

* Perform general administrative tasks, including photocopying, collecting stationery, retrieving files and deeds, and supporting the department with day-to-day operations.

* Undertake any additional administrative duties as requested by the Fee Earner, Team Leader, Branch Manager, or Business Head.

* Maintain adherence to the Firm's Quality Standards and ensure compliance in all tasks performed.
