The Database & Development Manager is responsible for overseeing the strategic deployment of the college's alumni relations and donor database to support the entire Alumni Relations and Development function.

They are responsible for providing regular advice on how best to target communications, and providing recommendations on how to better leverage the data in the database to meet the department's key aims and objectives. The post holder will be required to provide key analysis and regular financial reports for senior colleagues within the college and for alumni and donor stewardship. 

Key tasks

Database management

Be responsible for managing the college's Development and Alumni Relations data recording and administration, overseeing the processes which ensure donors are thanked in a timely manner.
Provide strategic management of, and creative direction in, the college's use of those data, including working to identify, research and prioritise activity to engage potential donors.
Provide strategic advice on how best to contact alumni to ensure high event attendance and to maintain high engagement across various alumni groups.
Ensure all data are held and processed in accordance with best practice and data protection regulation, including GDPR.
Liaise with colleagues in other parts of the college to ensure connection between DARS and the 'college contacts database'.
Have ultimate responsibility for developing and managing all of the college's database reports.
Reports

Prepare regular financial reports, as agreed, for the Director of Development and Alumni Relations and other members of the team.
Prepare and share regular reports on fundraising efforts, campaign efforts, and alumni engagement for colleagues to support their work.
Research and identify key prospects, adding them to a prospect pipeline and providing regular updates to the Director of Development and Alumni Relations.
Prepare in-depth reports for senior members of the college on key prospects and individuals ahead of important meetings.
Finance

Responsible, with support from the Database and Operations Officer, for the processing and stewarding of all donations.
Responsible for financial reconciliation, alongside the finance department, for incoming donations.
Responsible for ensuring quarterly gift aid returns are submitted and updated in a timely fashion.
Communications

Implement alumni and donor journeys, with divergent paths dependant on responses to emails/events/request for donations.
With the Director of Development and Alumni Relations and Database and Operations Officer, manage the department's information and financial systems.
Line manage for the Database and Operations Officer, performing annual reviews, overseeing their workload, and supporting their professional development.
Person Specification

Essential

Educated to degree level, or equivalent work experience
Experience using a CRM database as a superuser/supervisor
Strong written and oral communication skills
Ability to work independently and as part of a team
Excellent project management skills
Analytical skills, able to demonstrate ability to understand and produce graphs, data tables, and other outputs to present complex data in a meaningful, easy to understand way.
Strong IT skills, across the Microsoft office suite
Organised and able to prioritise
Comfortable with shifting priorities and a need to be flexible
Comfortable 'mucking in' with a range of office tasks
Able to explain difficult concepts in a way that is accessible and understandable
Highly motivated, able to work independently with an inquisitive, logical, pro-active approach to problem solving
Able to deal with confidential matters and act with discretion
Willingness to support colleagues in a helpful manner
Capable of staying calm and effective under pressure
Able to work across departments where priorities may be conflicting

Experience using DARS
