Responsibilities and Duties

• Assist executive in staying organized while helping prioritize matters in order of urgency 

• Answer incoming phone calls for executive (when applicable) and direct calls to proper personnel or take a detailed message

• Perform word processing and spreadsheet functions

• Prepare and send Proposals and any other documents to clients as required by executive

• Manage and distribute emails 

• Maintain calendar organized as well as keep executive up to date on commitments 

• Maintain and update filing of documents 

• Review invoices and make payments 

• Make outgoing telephone calls to prospective and current clients 

• Strong computer and word-processing skills. Proficiency in Microsoft Office 

• Excellent verbal and written communication skills

• Strong attention to detail and high level of initiative

• A great team player who is willing to provide support to others in the company

• A minimum of 3 years administrative experience necessary
