Job Description

We are looking for an experienced, proactive and dynamic Practice Support Executive (12 Month FTC) to join our fast-paced Construction and Energy team. The ideal candidate will have experience in providing immediate support to two partners, possess the initiative to take the lead and manage tasks independently and it is essential they have Legal litigation experience.

Key Responsibilities:

  • Exposure to handling the preparation of Court documents; preparing bundles including pagination, book marking (via pdf docs)
  • Experience of using software such as iManage share, BundleDocs, DocUSign or equivalent to support when a preparing for a trial
  • Diary management
  • Travel arrangements (occasionally at short notice to amend a trip and/or organise new trips)
  • Billing - following up and tracking. Having a confident and high level skill set on billing. Including reporting.
  • Regularly collaborates with Resource Management (assists with resourcing in the team), Legal Project Management, Finance (Revenue Controller and Credit Management)
  • Business Development, including but not limited to: uploading articles and updating CVs (not essential)
  • Matter lifecycle (InTapp or equivalent):
    • Conflict checks for articles
    • Matter maintenance and unallocated fees
    • Occasionally, onboard new clients and open matters, daft Engagement Letters
    • Has awareness of billing and client terms. Ensures the right rates are added to new matter requests/added to ELs
  • PDF document experience - flattening and paginating documents
  • PowerBi – run and circulate weekly fee reports (training is provided)

Essential Requirements:

  • Diligent, thinks outside the box and brings new initiatives to a team. This is not the average 'PA/Secretary role', we work in a fast-paced environment. PSEs are heavily involved in cases and will travel to court to deliver bundles ensuring everything is in hand
  • Strong experience of working in a legal or professional environment
  • Relevant qualifications for a secretarial role (CILEx Legal Secretary or equivalent)
  • Proficiency with Microsoft Office suite (Outlook, Word, PowerPoint)
