As our business grows, so too does the demand to keep our teams moving, and because of this we're now looking to appoint a Fleet Administrator to support our Fleet Manager with day-to-day Fleet requirements.

ABOUT THE ROLE

As the Fleet Administrator, you will provide essential day-to-day administrative support to the Fleet Manager, ensuring the efficient operation of our fleet function. Approximately 70% of your time will be dedicated to fleet-related tasks, while the remaining portion will involve tool allocation, calibration management, uniform requirements, and audits. This role requires a data-driven mindset, strong Excel administration skills, and a highly organised approach to record-keeping and compliance.

WHAT YOU WILL BE RESPONSIBLE FOR

Fleet Administration (Primary Responsibility - 70%)

Support the Fleet Manager in overseeing fleet operations, ensuring vehicles are maintained, serviced, and compliant with regulations.

Conduct driving licence checks for all new starters and maintain accurate audit records.

Keep detailed vehicle usage, servicing, and insurance records, ensuring accuracy in compliance reporting.

Assist with vehicle procurement, including liaising with suppliers and maintaining cost-effective fleet operations.

Track fuel usage, maintenance costs, and fleet expenditure, providing data-driven insights for optimisation.

Support the development and enforcement of fleet policies, including safety regulations and compliance protocols.

Conduct data analysis and reporting using Excel, generating insights into fleet usage, cost management, and operational efficiency.

Work alongside our insurance provider to ensure vehicles are adequately covered and claims are managed efficiently.

Assist with defleeting of vehicles as and when required.

Additional Responsibilities (30%)

Tool allocation and calibration - Administer tool distribution, ensuring inventory is tracked and calibration schedules are properly maintained.

Uniform management - Oversee uniform requirements for new starters and existing employees, coordinating procurement and replacements.

Audits and compliance - Conduct regular audits across fleet operations, equipment tracking, and uniform management, ensuring compliance with company standards.

Stakeholder coordination - Work collaboratively with teams to support fleet, tools, and uniform administration as required.

Administrative support - Utilise Excel and fleet management systems to maintain records, generate reports, and support operational efficiency.

WHAT WE ARE LOOKING FOR

* Versatile and adaptable - Comfortable managing a diverse workload across fleet, tools, and uniform administration.

* Stakeholder engagement - Strong communication and coordination skills with internal and external teams.

* Fleet function experience - Previous experience in a fleet administration role (desirable).

* Vehicle maintenance understanding - Basic knowledge of vehicle servicing and repair (desirable).

* Strong data and Excel skills - Advanced Excel administration, including pivot tables, formulas, and data visualisation.

* Compliance and auditing - Experience managing driving licence checks, audits, and compliance documentation.

* Tool and equipment oversight - Familiarity with tool allocation, tracking, and calibration processes.

* Uniform and inventory management - Experience managing uniform distribution and stock tracking

* Versatile and adaptable - Comfortable managing a diverse workload across fleet, tools, and uniform administration.

* Engineering industry background - Previous experience in an engineering field (highly desirable).

* Valid UK driving licence - Essential for the role.

* Flexibility to travel across different sites as required.

THE PACKAGE

A competitive starting salary of £26,000 - £28,000 with annual pay reviews.

25 Days holiday plus bank holidays.
