GMP Recruitment are proud to partner a successful and highly recognisable logistics company located in Redditch. We are recruiting on their behalf for a dedicated and detail-focused Administration Coordinator (Nights) to join their team on a full-time, permanent contract. working Friday - Monday, 19:00 - 07:00, totalling 44 hours per week.

You will be offered a highly competitive Salary of up to £31,460 per annum, which is demonstrable with previous, relevant experience, this is inclusive of shift allowance. 20 days holiday (5 weeks) plus bank holidays

Initial training will be completed during day hours, this is expected to be for 6 - 8 weeks, working 40 hours per week (salary will be pro rata during this period)

We are seeking a reliable and highly organised Administration Coordinator to oversee the overnight tracking and administrative responsibilities within a busy logistics environment. The successful candidate will play a vital role in ensuring seamless tracking of shipments, clear communication with customers and subcontractors, and accurate system updates, all while maintaining high standards of organisation and professionalism during night shifts.

Administration Coordinator main duties:

* Input shipment and transport orders into internal systems in a timely and accurate manner.

* Track road and air shipments, ensuring full visibility and timely updates to customers.

* Liaise with customs and provide relevant documentation for cross-border shipments.

* Plan vehicle schedules and communicate with subcontractors and carriers.

* Negotiate carrier rates when required and build strong relationships with providers.

* Ensure drivers have all required paperwork for EU deliveries and collections.

* Maintain clear and regular communication with customers regarding job status.

* Support warehouse coordination by informing of incoming and outgoing freight.

* Ensure all jobs are closed out correctly—collecting proof of delivery, purchase orders, and scanning all documents.

* Maintain data accuracy and integrity within the system and prepare files for invoicing.

* File documentation systematically and efficiently.

* Work closely with operations, accounts, and warehouse teams to ensure smooth workflow.

* Escalate customer/system issues effectively to relevant internal teams.

Administration Coordinator desired skills and experience:

* Experience in administration or customer service roles, ideally in a logistics environment.

* Understanding of the transport and freight forwarding sector is desirable.

* Strong organisational and administrative skills with excellent attention to detail.

* Excellent verbal and written communication skills.

* Able to work independently with minimal supervision during night hours.

* Competent in Microsoft Office, email, spreadsheets, and databases.

* Ability to manage and prioritise multiple tasks in a fast-paced environment.

* A good listener with problem-solving abilities and a “can do” attitude.

* Proactive, self-managing, and team-oriented.

* Knowledge of a second language would be an advantage.

* Minimum 5 GCSEs or equivalent, with good numeracy and literacy skills.
