Job Title: Administrative Assistant 

Location: Various schools in Hampshire 

 Contract Type: Full-time / Part-time / Term-time only

Job Purpose: 

To provide high-quality administrative and customer service support to ensure the smooth running of the school’s operations, acting as a key point of contact for parents, pupils, visitors, and staff. 

Key Responsibilities: 

Customer Service 

  • Act as the first point of contact for general parent, pupil, and visitor enquiries, responding within standard procedures or referring to the appropriate person. 

  • Contribute to the efficient running of the school’s administrative processes, supporting staff and external contacts. 

Administration 

  • Produce original and standard documentation and correspondence as required. 

  • Apply a wide range of standard processes and procedures, including administration of educational visits and support for curriculum departments. 

  • Input and extract staff/pupil information using computer-based management information systems and Google Suite applications. 

  • Maintain accurate records and always ensure confidentiality. 

Teamwork 

  • Work collaboratively with colleagues to achieve shared goals. 

  • Provide cover for other members of the admin team as directed. 

Compliance 

  • Comply with relevant legislation, including Health & Safety and Fire Regulations. 

  • Adhere to the school’s Safeguarding and Child Protection policies. 

Skills & Experience Required: 

  • Strong communication and interpersonal skills. 

  • Excellent organisational skills and attention to detail. 

  • Proficient in IT systems, including Google Suite and management information systems. 

  • Ability to work under supervision and as part of a team. 

  • Previous experience in an administrative role (preferably in an educational setting) is desirable.
