Team Administrator35 hours per week£24,000 Pro RataLocation: Bodie’s House, 254 Braunstone Lane, Leicester, LE3 3ASThis is a varied and exciting role which will support The Bodie Hodges Foundation team and provide administration support to ensure the smooth running of Bodie’s House and the services that it offers. The post holder must have natural empathy and sensitivity towards families bereaved of a child. The post holder will work across all teams and will play a key role in the growth of the charity and its systems and processes. We are looking for someone who works on own initiative and would love to develop in this role in the future. ResponsibilitiesGeneral Office Duties

  • Support the CEO with tasks as required.
  • Be responsible for the smooth running of the charity’s administration.
  • To be the first point of contact for all enquiries into the charity, managing the main email inbox.
  • Ensure that The Bodie Hodges Foundation is always represented with compassion and professionalism.
  • Dealing with enquiries by telephone, email, and post.
  • Filter all enquiries, passing them to the relevant team as appropriate.
  • Liaising with external organisations to book meetings, counselling sessions and events.
  • Support members of the team with administration duties as required to ensure the efficient running of their services.
  • Welcome visitors and service users to Bodie’s House and provide refreshments.
  • Ensure that therapy and meeting rooms are set up and serviced.
  • Ordering supplies to keep Bodie’s House fully stocked.
  • Assist with keeping contact databases and records up to date in line with GDPR and forwarding any queries to the relevant team.
  • Draft, type and dispatch charity correspondence in line with team branding guidelines.
  • To undertake word processing, electronic communication, telephone communication, paper and electronic filing, printing, photocopying, and shredding as required.

Bodie’s Bereavement Service

  • Provide administration support to Bodie’s Bereavement Service counsellors by preparing documentation for assessments and resources for sessions.
  • Coordination of counselling diary and allocation of sessions via our booking and records systems.
  • Confirm appointments and contact families regarding their sessions, via email and by phone.
  • Liaise with Schools to ensure that sessions for children and young people are organised
  • Provide general administration duties to support the team

Fundraising and event Team

  • Use Donorfy CRM to ensure donor data is up to date.
  • Keep Mailchimp database up to date.
  • Be responsible for thanking our donors, sending out literature as required to donors and fundraisers.
  • Record and collate reports for grant feedback.
  • Support invoice requests.
  • Liaise with accounts as needed to send proof of expenditure.
  • Support event preparation and behind the scenes admin if required at events.
  • Depositing cash at the bank or post office as requested.

Other Duties

  • This role will evolve and change over time as we further develop our services and so it is expected that the postholder will be flexible in the duties needed to meet the needs of our service offer and support the families we work with.
