POSITION: Administrative Assistant

DEPARTMENT: Sales

REPORTS TO: Director of Sales & Marketing

FLSA STATUS: Non Exempt

 

Summary

 

SMG, the leader in privately managed public assembly facilities, has an excellent and immediate opening for an Administrative Assistant for Savor at the Moscone Center. Responsible for providing excellent customer service to clients and administrative support to our Sales Department. Other responsibilities include ensuring efficient office operations, maintaining organized records, and processing paperwork related to billing. To be successful in this role, you’ll need administrative skills and experience in a fast paced office environment. Ultimately, you will help support our team to help ensure events run smoothly.

 

Essential Duties and Responsibilities

 

Include the following. Other duties may be assigned.

 

  • Process all catering paperwork including: distribution of event orders, daily catering reports, delivery receipts, tip sheets and all sales order changes.
  • Maintain master function book for each event.
  • Transmit correspondence such as menus, contracts, and proposals to clients and potential clients as generated by Sales Managers.
  • Organize and record all contract due dates, payments, deposits, and log all checks and payments.
  • Process client billing and credit card charges and track all past due accounts.
  • Answer the main reception phone as well as greet incoming clients and guests.
  • Manage weekly schedules for Sales Department.
  • Respond to requests from other SMG facilities.
  • Photocopy and distribute event forecasts as generated by Sales Department.
  • Post, process, and send all outgoing mail.

Education and/or Experience

  • Minimum one year experience in an office environment

  • Customer service experience a plus

     

     

    Skills and Abilities

  • Ability to work all shifts including nights, weekends and holidays as needed

  • Good written and verbal communications skills

  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.

  • Ability to calculate amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.

  • Ability to execute instructions furnished in written, oral, or diagram form.

  • Ability to deal with problems involving several concrete variables in standardized situations.

     

Computer Skills

Proficiency with Microsoft Office including: Work, Excel, Outlook, PowerPoint

 

Other Qualifications

  • Strong verbal and written communication skills

  • Ability to multi task
