Job Purpose

The Warehouse Supervisor is responsible for ensuring the smooth, efficient, and safe operation of the warehouse and the Service & Repair department. This includes maintaining high standards of organisation, accuracy, cost-effectiveness, and compliance across all activities.

A key part of the role is the daily management and upkeep of assets within HireHop, ensuring the system remains accurate, up-to-date, and reflective of physical stock and equipment condition.

The Warehouse Supervisor acts as the primary point of contact for all goods-in and goods-out activities, coordinating internal and external deliveries to ensure timely and accurate processing. The role includes supervising the warehouse team, allocating tasks, monitoring performance, and escalating issues to the Ops Mngr.

1. Departmental Resource Management

  • Oversee day-to-day warehouse operations including logistics, space utilisation, and Health & Safety compliance.
  • Supervise and support warehouse staff to ensure productivity, efficiency, and adherence to procedures.
  • Allocate daily tasks and monitor workflow to meet operational deadlines.
  • Support training and onboarding of new warehouse staff.
  • Maintain the on-call rota and allocate weekend call-out cover (approx. one per month per team member).
  • Monitor staff hours and TOIL, raising concerns with senior management.
  • Support and coordinate workload for the Service & Repair team to minimise backlogs.
  • Attend team meetings and provide updates on warehouse activity.

2. Transactional Responsibilities (Hire Cycle)

  • Ensure all equipment is safely loaded and unloaded from transport vehicles.
  • Ensure equipment is packed securely and appropriately for transport.
  • Print HireHop prep lists, count and check off equipment, noting any special requirements.
  • Monitor prep and delivery deadlines, flagging risks to senior management.
  • Maintain accurate records for all sub-hired equipment.
  • Liaise with Project Managers to confirm transport arrangements and support additional transport bookings when needed.
  • Ensure returned equipment is checked in accurately and recorded in HireHop, maintaining check-in times as a KPI.
  • Report damaged or missing items promptly to the Project Manager and raise appropriate reports (Missing, Field, RAID).

3. Inventory & Asset Management

  • Maintain accurate records of purchased inventory.
  • Add new stock and equipment to HireHop as directed.
  • Conduct regular stock checks and report discrepancies.
  • Ensure equipment is clean, presentable, and in good working condition.
  • Perform basic repairs or soldering where time and skill permit.
  • Monitor software updates, PAT testing dates, and reported equipment faults.
  • Maintain up-to-date PAT testing records for rental equipment.
  • Attend weekly missing kit control meetings; review and action weekly kit control reports.
  • Work with Project Managers and warehouse staff to identify potential kit shortages and ensure project requirements can be met.
  • Monitor all incoming Field Reports from onsite crew and take relevant warehouse-related action.
  • Minimum 2 years’ experience in a warehouse or logistics supervisory role, or a strong warehouse operative seeking progression into a Supervisor position within 6–12 months.
  • Basic understanding of lighting/electrical equipment maintenance.
  • Ability to input, retrieve, and analyse data.
  • Strong hands-on approach to completing tasks.
  • Proven ability to direct and coordinate warehouse operations.
