Emergency Accommodation Allocations Officer - Local Authority

To identify suitable emergency temporary accommodation vacancies and allocate them appropriately, according to specified requirements and needs, to nominated households.

To carry out the complete process of booking, extending and cancelling emergency accommodation, ensuring good use of available stock, minimising voids in block booked rooms and ensuring value for money. To accurately and promptly maintain all monitoring systems relating to this process.

1. The postholder reports to Tenancy Services Team Leader

2. The postholder has no line management responsibility.

3. The postholder may be required to work evenings, weekends and occasional public holidays, in order to meet service requirements.

4. The postholder has no specific Health and Safety, risk management or direct budgetary responsibilities.

Key Tasks and Accountabilities Key tasks and accountabilities are intended to be a guide to the range and level of work expected of the postholder. This is not an exhaustive list of all tasks that may fall to the postholder and employees will be expected to carry out such other reasonable duties which may be required from time to time.

1. To gather and maintain records and systems which show vacancies in emergency accommodation available for booking on a daily basis. Ensuring there is adequate information about the accommodation, so that appropriate matching to a customer's needs can be carried out and liaising with accommodation providers and teams to make nominations as required.

2. To maintain accurate records and systems of all customers nominated for emergency accommodation, including new bookings, extensions and cancellations. To liaise with teams making nominations to ensure all necessary information is available and the system is regularly updated.

3. To check all relevant records and appropriately match customers to suitable emergency accommodation vacancies, in line with the customers need's, council policy and statutory duties.

4. To make appropriate accommodation bookings and follow the agreed process for doing so, including transfers to ensure that no household is in emergency accommodation longer that the government.

5. To identify alternative emergency accommodation options for nominated households where no suitable accommodation is available in block booked accommodation or from the spot booking framework providers in liaison with team leader and the Contract Relationship Team Leader.

6. To ensure vacancies are used efficiently and effectively, prioritising and minimising voids in block booked rooms and value for money (cost, quality and appropriateness of the accommodation) when matching households.

7. To accurately and promptly maintain systems for recording information including IT or manual systems used by the service.

8. To collect, prepare and present statistical and other management information on all aspects of emergency accommodation usage, as required.

9. To deal effectively with telephone calls, correspondence, requests for information, enquiries and complaints about the service form customers, managers and colleagues, partners and stakeholders and respond promptly and appropriately, within agreed deadlines.

10. To liaise with colleagues and external partners as required to deal with operational and service issues, including attendance at meetings, participating in projects and service improvement initiatives.

11. To ensure that all set personal targets and objectives are met, while ensuring the effective and efficient running of the team including cover for absence and participating in duty telephone and interview cover arrangements in the Tenancy Services Team.

12. To carry out any other duties commensurate with the purpose of the role, as directed, including delegating for the Tenancy Services team Leader when required, at any office location, to ensure service delivery within the Temporary Accommodation Section is maintained.
