Job Description

The Project Manager (PM) is responsible for the management of specific project(s) from final contract until completion of the job. The job of the PM is to plan, budget, manage, and document all aspects of the project(s) they are assigned to. The PM will review all documents related to a project including; approved shop drawings, architectural plans and specifications, product fact sheet for material handling and fabrication. This position will drive performance, reduce variation, decrease waste, increase speed, and champion the principles of continuous improvement. The PM will routinely work with leadership team providing updates and ongoing analysis of each project. The PM will also serve as the primary liaison with our clients and subcontractors for their assigned project(s).

. Essential Job Functions

  1. Responsible for the organization and direction of projects and related activities within assigned area of responsibility, which may be a single area, multi-area or a multi-discipline project.
  2. Conduct site visits to evaluate project when needed.
  3. Coordinate with production to ensure all project dates and quality expectations are maintained.
  4. Coordinate deliveries and installation with GC's and subcontractors.
  5. Coordinate projects and deadlines with the Carpentry and Paint Shop Supervisor, to develop a schedule for completion of each project.
  6. Field measure site conditions and compare to architectural drawings/shop drawings (catch any coordination items prior to field install).
  7. Be fully involved in project from bidding to production handoff.
  8. Assist with preparing material take-offs and bidding of future work.
  9. Work with the Scenic Director to prepare budgets and estimating costs (based on time, labor and materials for change orders and T&M work)
  10. Help identify potential quality, material savings, and design cost issues.
  11. Develop the basic knowledge and understanding of the different product types, materials, surfaces, finishes, etc. (i.e. wood, metal, plastics, fiberglass), used to fabricate themed products.
  12. Read and interpret blueprints/drawings, in order to coordinate project needs and conflicts requiring resolution to fulfill design.
  13. Work in collaboration with designers, clients, department heads, scene, props, and carpentry/paint shop staff to insure the work is completed within the proper time restraints.
  14. Project Management coordination and communication to leadership, client and GC.
  15. Production/Fabrication and sub-contractor coordination.
  16. Maintain up to date Project Schedules (fabrication thru installation)
  17. Installation coordination (delivery, trucking, and equipment rental)
  18. Responsible for creating the project plan, managing the project to meet the needs of all parties and deliver expected project financials.
  19. Manage project scope and timing with the client, subcontractors, vendors, and internal company support departments.
  20. Responsible for project financials in managing all costs including internal and external resources to meet or exceed financial targets.
  21. Responsible for managing all change orders, coordinating the execution of contracts with client and subcontractors.
  22. Responsible for mitigating risk with client and subcontractor for the project.
  23. Analyze job requirements, define scope, and set project timelines for submittals, fabrication, and installation.
  24. Prepare, track, and coordinate all submittals and project questions, to ensure project details will be coordinated and relayed to the shop for fabrication.
  25. Provide submittals and finish samples to client.
  26. Review and redline drawings, track process from submittal to approval, coordinate changes between trades.
  27. Maintain constant communication with production, fabrication, shipping, purchasing, and logistics.
  28. Develop relationships with architects and contractors to generate project opportunities.
  29. Manage multiple priorities and respond to urgent leadership requests in a timely manner, performing in a fast-paced environment.
  30. Provide accurate material and labor costs from architectural drawings.
  31. Work directly with the client to value engineer material and construction options and obtain project requirements.
  32. Communicate all details of the project to stakeholders.
  33. Manage the project schedule to ensure all dates are met.
  34. Review and QC all submittal/shop drawings prior to client review.
  35. Communicate directly with contractors, architects, vendors, and subcontractors in a professional and timely manner.
  36. Formulate RFI's & change orders. Complete all necessary forms and paperwork for billing.
  37. Prepare pricing and negotiate change orders with the contractor.
  38. Identify and coordinate purchase of specialty material such as metal, upholstery, glass, and other custom components.
  39. Take an active role in the manufacturing process. Work closely with the production team to determine best practices.
  40. Maintain and coordinate material deliveries to ensure project schedules are being met.
  41. Accurately process billings to customers and change authorization to subcontractors.
  42. Assist with shop fabrication and installation, as necessary.
  43. Perform all other duties and tasks as assigned or requested at the discretion of management.

  12. Must have an ability to maintain reasonably regular, punctual attendance consistent with the ADA, FMLA, other federal, state and local standards and organization attendance policies and procedures.
  13. Must maintain compliance with all personnel policies and procedures.
  14. Must have the internal motivation to sustain long productive work days and weekends when required
  15. Self-disciplined, organized and able to effectively coordinate and collaborate with team members
