Location: DerbyWe are currently seeking an Operations Manager to join a dedicated and compassionate provider of residential care services for children, committed to creating a safe, nurturing, and supportive environment based in Derby.
The role:The Operations Manager will oversee the day-to-day management of the residential care services, ensuring the smooth running of care homes, staff coordination, financial oversight, and regulatory compliance. The Operations Manager will work closely with the Responsible Individual (RI), Registered Managers, providing operational support while ensuring compliance with business policies, HR regulations, and financial objectives.
Duties and Responsibilities:Staffing, Recruitment & HR Support - Manage and enforce safer recruitment practices, including DBS checks, reference verification, and pre-employment screening.
- Oversee the end-to-end recruitment process — from advertising roles to onboarding and induction.
- Supervise the maintenance of staff records, qualifications, and mandatory training logs.
- Lead on attendance monitoring, absence tracking, and performance reviews, escalating issues as needed.
- Support and manage disciplinary procedures and staff investigations.
- Coordinate and monitor staff training, ensuring compliance with mandatory requirements.
Financial & Budget Management - Lead the preparation and management of operational budgets across the care homes.
- Monitor expenditures and implement strategies to improve cost-efficiency.
- Oversee financial reporting related to recruitment, training, and day-to-day operational costs.
Facilities & Property Oversight - Manage all property maintenance and safety requirements to ensure homes are compliant and well-maintained.
- Oversee scheduling of gas/electric certifications and vehicle servicing to meet regulatory standards.
- Maintain oversight of facilities records and ensure timely resolution of issues.
Compliance, Records & Administration - Manage GDPR-compliant systems for staff and resident records.
- Oversee recruitment databases and admissions tracking to ensure procedural compliance.
- Supervise documentation for resident admissions and discharges.
- Ensure timely submission of operational reports and support external audits.
- Oversee office supply systems, inventory, and administrative processes.
Stakeholder Engagement & Communication - Manage relationships with commissioners, local authorities, and agencies to support placements, contracts, and funding.
- Work alongside the Responsible Individual (RI) to ensure compliance with safeguarding, regulatory, and quality standards.
- Oversee social media and website content to support recruitment, marketing, and brand visibility.
Operational Oversight & Improvement - Drive process improvements to increase efficiency and reduce costs while maintaining compliance.
- Implement operational changes that enhance service delivery and regulatory adherence.
- Maintain clear communication with Registered Managers and staff, providing operational leadership and support.
- Manage crisis response plans to ensure smooth handling of operational emergencies.
Qualifications and Skills: - Must have proven experience in operations management within residential care, healthcare, or a regulated setting.
- Strong administrative and organisational skills, with experience managing HR, recruitment, and compliance records.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and database management systems.
- Knowledge of financial processes, including budgeting, expenditure tracking, and cost control.
- Excellent communication and leadership skills, capable of engaging with external stakeholders, staff, and management teams.
- Ability to work independently and proactively, balancing strategic planning with hands-on operational management.
- Familiarity with safeguarding policies, GDPR regulations, and compliance frameworks.
