We have an exciting temporary opportunity for an Executive Assistant (EA) to support our Associate Vice President (Education) at our newly established Lifelong Learning department. Location: Holborn, London
Salary: £19.58 per hour
⏳ Duration: ASAP for 3 months - Have the opportunity to apply for the permanent position
Office Presence: Minimum 4 days on campus (1 day WFH)

Interviews: Must be available for an onsite interview on Thursday 24th July with a view of starting on the 28th July

About the Role:
As an Executive Assistant, you will play a pivotal role in ensuring the smooth operation of daily activities and supporting the development of our Lifelong Learning department. Your expertise will not only enhance office management but also help foster collaboration with internal and external stakeholders.

Key Responsibilities:

Executive Assistant Support:

Proactively manage the diary of the Associate Vice President, scheduling meetings, resolving conflicts, and anticipating needs.
Serve as the first point of contact for all stakeholders, addressing inquiries with professionalism and efficiency.
Prepare meeting materials, including agendas, papers, and presentations; take minutes and ensure follow-up on actions.
Coordinate planning and logistics for meetings, workshops, and events-both in-person and online.
organise travel and accommodation arrangements, processing related expenses with accuracy.
Handle confidential information with utmost professionalism and discretion.Office Management:

Be the welcoming face of our unit, handling reception duties and greeting visitors.
Ensure the office runs smoothly-manage mail distribution, order supplies, report issues, and liaise with porters.
Support the recruitment process and help organise inductions for new staff, including IT setups and purchasing cards.Initiative and Problem Solving:

Independently find answers to queries using internal documentation and effective web searches.
Collaborate with colleagues to determine appropriate courses of action and set deadlines.
