Operations Manager / Office Manager
Location: Manchester (City Centre)
Salary: £30,000-£40,000 (DOE) + bonus potential
Working Pattern:
- Monday-Thursday: 9:00am-5:30pm
- Friday: 9:00am-4:00pm (early finish)
- 1 day WFH per week (Wednesday or Friday)
- 12 additional "Wellness" days per year (1 per month, flexible use)
The Opportunity
My client is a rapidly growing Manchester-based construction and consultancy group operating across surveying, engineering and main contracting.
The group brings together specialist businesses under one structure, delivering joined-up thinking and end-to-end support across the construction lifecycle. Projects range from consultancy and technical advice through to full construction management and principal contractor delivery.
With increasing enquiry levels and expansion plans underway, they are now seeking an Operations Manager / Office Manager to bring structure, systems and control to the day-to-day office function.
This is a pivotal, hands-on role within an ambitious and expanding business.
The Role
This is an operational position focused on:
- Office operations
- Administration and process structure
- Systems implementation
- Enquiry handling and workflow control
- CRM and financial system setup
The successful candidate will ensure opportunities are handled immediately, internal systems are properly implemented, and the office operates efficiently and professionally.
This is not a people-management role - it is about ownership, organisation and process.
Key Responsibilities
Office Operations
- Oversee the smooth day-to-day running of the Manchester office.
- Introduce structured administrative systems and workflows.
- Create clear processes for tracking enquiries, projects and invoicing.
- Ensure nothing "sits in the inbox" or gets delayed.
Enquiry Management & Client Handling
- Act as first point of contact for incoming enquiries.
- Pick up the phone and speak confidently with clients.
- Log, qualify and direct enquiries appropriately.
- Proactively follow up - projects can represent significant fee values.
Systems & Process Implementation
- Set up and manage Xero (invoicing, tracking, reporting).
- Implement tagging systems for incoming jobs and workflow stages.
- Research, implement and manage a suitable CRM platform (e.g. HubSpot, Pipedrive, Zoho, Monday.com or similar).
- Build scalable processes to support continued growth.
Commercial & Operational Support
- Track pipeline activity and job progression.
- Support directors with operational visibility.
- Bring structure and clarity to a fast-moving environment.
Candidate Profile
- Experienced in office management, operations or senior administration.
- Genuinely enjoys organisation and system-building.
- Confident and professional on the phone.
- Proactive, commercially aware and decisive.
- Comfortable implementing new systems independently.
- Experience with Xero and CRM systems highly desirable.
