Responsibilities

Learn and perform the role by instruction and guidance to a high standard.

Open, distribute, and record incoming post, including downloading digital work from portals and divisional mailboxes.

Provide accurate information and advice to stakeholders, recording details on IT systems and making appointments as required.

Process applications and requests for services such as Noise and Pollution, Food and Safety, pest control, and various licenses in accordance with procedures and timescales.

Ensure fee payments and refunds are correct and processed according to financial management procedures, maintaining accurate records.

Perform administrative duties related to the preparation and service of statutory notices.

Prepare and issue letters, notices, and licenses as required.

Maintain accurate and up-to-date records in both electronic and hard copy formats, adhering to GDPR and Data Protection Regulations.

Collect information and collate statistics for process improvement and performance evaluation of the RSP.

Handle a wide range of service requests and enquiries from internal and external sources.

Attend and contribute to meetings and training sessions as required.

Carry out other duties appropriate to the grading of the post as needed.

Develop and maintain knowledge of legislation relevant to specific areas of responsibility.

Work flexibly and provide cover for other assistants when necessary to meet service needs.

Provide administrative and business support to operational and professional officers.

Person Specification

Possess 3 GCSEs (or equivalent or relevant experience) including Math and English.

Hold an NVQ in customer service.

Understand local authority and regulatory services.

Have knowledge of legislation related to services such as Licensing, Food and Safety, Private Sector Housing, Trading Standards, Noise and Nuisance, Air Quality, and Pest Control.

Deliver excellent customer service.

Experience working in a fast-paced, demanding front-line customer service environment.

Adaptability to changing circumstances.

Experience providing technical administrative support to professional officers in local government or a similar environment.

Experience taking payments and using Microsoft IT packages confidently.

Ability to organize and prioritize workload to meet deadlines and statutory timeframes.

Excellent communication skills for providing clear verbal and written instructions and advice.

Good numeracy skills for working with figures accurately, including multiplication, fractions, and percentages.

Ability to work as part of a team and communicate confidently with colleagues, the public, and contractors.

Organizational skills for managing workloads to meet deadlines.

Ability to learn and explain technical information to non-technical people.

Maintain professionalism and calmness at all times.
