Joe Taylor Restoration has an immediate opportunity for a full-time Accounts Payable Specialist. JTR is an industry-leading property mitigation company. We provide 24-hour emergency services to homeowners who have suffered a water-, fire- or mold-related loss. The duties of the Accounts Payable Specialist include entering vendor invoices and processing payments in a fast-paced environment.

Essential Functions and Responsibilities

Ensure the accuracy of bills paid and obtain approval on invoices, enter into QuickBooks and allocate costs according to the correct category, PO number and/or customer job.

Pay bills via credit card over the phone or Internet when possible (with approval) and record in QuickBooks. Scan and archive all supporting documentation.

Scan and upload supporting documentation for checks to QuickBooks; archive on the public drive.

Prepare checks for mailing and/or pick-up.

Scan Accounts Payable support documentation to correct AP vendor folder on the P drive.

Attach bills to CRM files when required.

Obtain W-9 from new vendors.

Prepare annual 1099 and 1096 forms.

Reconcile vendor statements to current records; locate missing invoices.

Review open purchase orders at month's end for accuracy.

Provide back-up support for Accounts Receivable Specialist position, as needed.

Required Skills

Expected to have experience using generally accepted accounting practices (GAAP) in an accrual accounting environment

Expected to have knowledge and hands-on experience in Microsoft Office suite, QuickBooks, Sugar/CRM or similar database

Expected to analyze, interpret and communicate data effectively, both verbally and in writing

Expected to effectively present information and respond to questions from leadership

Expected to complete assignments with promptness and accuracy

Customer-Service Skills: Must be assertive yet friendly, organized, great work ethic, no-drama, good attitude, get along well with others, and well-spoken over the phone. Comfortable on the phone (answering, transferring, helping customers)

Communication Skills: Listen and respond appropriately to customers and management. Active listening skills.

Experience in working with homeowner insurance a plus.

Language Skills: Bilingual - Spanish Speaking Welcomed

ERP Experience - preferably QuickBooks Enterprise

Education and experience

Minimum education: High school diploma or GED, AA degree in accounting preferred

Minimum experience: Three to four years of Accounts Payable hands-on experience in an Accrual Accounting environment
