My client is seeking a Team Assistant/PA to provide exceptional administrative support to the Executive Director of Operational, EMEA, and the Business Solutions Department on a 6 month fixed term contract. This role is vital in supporting key projects and initiatives, ensuring smooth operations within a dynamic and fast-paced environment.

Day to Day of the role:
  • Coordinate and manage the diary of the Head of Department (HOD), EMEA.
  • Organise departmental meetings and events, including high-performing team events.
  • Handle travel arrangements, including booking flights and managing hotel accommodations for the Business Solutions team.
  • Take minutes and circulate notes during specific project meetings.
  • Create new vendor entries and manage their status tracking.
  • Process expenses and handle purchase requisitions and administration.
  • Manage goods receipting in agreement with the HOD.
  • Maintain Business Solutions budget tracking and invoice processing.
  • Upload documents into the central repository and maintain cover for other support staff.
  • Work with legal and external vendors to process statements of work (SOWs) and manage them through Ariba.
  • Maintain confidentiality and perform any other tasks as required.
Required Skills & Qualifications:
  • Excellent verbal and written English skills.
  • Educated to A-level standard or equivalent.
  • Experience in the pharmaceutical industry and managing departmental systems.
  • Intermediate/advanced knowledge of Microsoft Office packages, including Excel and Word.
  • Proven diary management experience and proficiency in various applications.
  • Familiarity with Business Intelligence, Analytics and Customer Relationship Management.
  • Excellent coordination, communication and presentation skills.
  • Strong organisational, technical and problem-solving skills with attention to detail.
  • Ability to work independently, meet strict deadlines and work with numbers.
  • Knowledge of SAP P2P/ Ariba process
  • Second language skills are advantageous.
