Role Summary

We are seeking a Sustainability & Quality Operations Support Executive to assist the Sustainability, Quality & Vetting team in maintaining and improving the company’s safety, quality, and environmental management systems.

It is well suited to an early-career maritime professional with either junior shore-based shipping experience or initial sea-going experience who is looking to develop a long-term career in maritime compliance and fleet support.

Please note full right to work in the UK is required for this role.

Responsibilities

  • Monitor vessel schedules and coordinate external audits and surveys including ISM, SQE and ISPS audits and Green Award surveys.
  • Manage and process document change requests for company manuals and ensure updates are communicated to both office staff and vessels.
  • Maintain and periodically update key regulatory documentation including SSP, SOPEP and PCSOPEP.
  • Prepare and distribute compliance documentation and regulatory materials for newly acquired or managed vessels.
  • Coordinate management review meetings, including preparation of materials and recording meeting minutes.
  • Schedule and monitor monthly compliance checks, including unannounced alcohol testing and OWS verification processes.
  • Maintain the company’s technical and regulatory library, ensuring both digital and physical documentation is up to date.
  • Assist with invoice processing and purchase order approvals related to compliance and audit activities.
  • Provide general administrative and operational support to the Sustainability, Quality & Vetting department as required.

Requirements

  • Diploma or Degree in a relevant discipline.
  • 1-2 years’ experience in the shipping industry, OR approximately 1 year of sailing experience onboard vessels.
  • Basic understanding of maritime regulations and ship management processes.
  • Strong written and verbal English communication skills.
  • Proficient in Microsoft Office (Word, Excel, Outlook).
  • Highly organised with strong attention to detail and ability to work to tight deadlines.
  • Strong interpersonal skills and ability to communicate effectively with both office teams and vessel crews.
