Job Description

Description of Work: Enter here the job functions and responsibilities for the position.

Meeting support: schedule meetings and conference calls; reserve conference rooms; review calendars a week ahead to ensure all meetings are adequately staffed and resources are obtained; escort visitors to and from DHS meetings; assist with conference room set up; compile post-event attendee lists and evaluations at the direction of the meeting organizer; photocopy and assemble meeting and briefing materials;

Travel support: assist staff with making travel arrangements and preparing travel vouchers; package and ship meeting and conference materials.

General Support: Make and answer phone calls. Conduct research on a variety of civil rights and liberties issues; prepare, send, and track routine correspondence; manage incoming and outgoing mail; and prepare routine reports. Provide information access assistance to a blind staff member.

Resume shall demonstrate progressive administrative experience, defined as clerical, office, or other administrative work. Demonstrates the ability to acquire the particular knowledge and skills needed to perform the duties of the position. The candidate will possess the following experience and aptitude:

1. Customer and quality focused, good communicator.

2. Team player

3. Familiarity with DHS policies, procedures, and systems;

4. General office support including: filing and maintaining office records; compiling and tracking data; providing computer assistance; scheduling meetings; typing correspondence; compiling meeting materials; managing multiple calendars.

5. Experience working in a fast-paced environment.

6. Experience using MS Office Suite, including MS Word, Outlook, Power Point, Excel.

Minimum Qualifications

· Minimum of 5 years of general administrative experience
NOTE: more years of experience is fine if the salary requirements don’t exceed the maximum noted above.

· Required: Active or recent DHS suitability/ Entry on Duty (EOD) from DHS HQ or any DHS component
