We’re working with a whole-of-market financial planning company based in Sindlesham, known for their holistic and high-integrity approach to financial advice. They’re now looking for an Assistant PA / Business Administrator to join their growing team.
Why This Role?You’ll work closely with the Executive Assistant to support team members, manage day-to-day business operations, and help ensure the business runs smoothly. This is a varied, people-facing role that combines classic PA duties with wider administrative support across the company.
You'll have the chance to build strong relationships with clients, support team communications, and play a key role in diary and meeting management. This role offers genuine room to grow - whether that’s progressing into an EA position or into financial services administration in time.

Key Responsibilities:
- Supporting the Executive Assistant in diary management and scheduling meetings
- Book all client meetings
- Client calls to confirm meetings
- Handling incoming communications and client correspondence
- Assisting with general office administration and team support
- Preparing documents, reports, and handling confidential information
- Engaging with clients via phone and email - relationship building is key
- Book Company and Directors’ Meetings quarterly
- Manage RS/JJ/EP diaries
- Manage monthly staff compliance tasks
- Report on marketing promotions monthly
- Complete RS/JJ CPD Logs
- Petty cash management
- Weekly supplies shopping
- Stationary management/ordering
- Email management
- Preparation of scorecards
- Management of director’s 'to do’ list
- Annual Review Preparation
- Post
- Sending completed reports to clients.
What We’re Looking For:
- Previous administration experience is essential
- Experience as a PA, or handling diary management/meeting coordination, is highly advantageous
- Strong communication skills - both within a team and with clients
- Good working knowledge of Microsoft Office (Outlook, Word, Excel)
- Exceptional attention to detail, a proactive attitude, and a team spirit
