Role Overview

They are seeking a proactive and organised Office Administrator to act as the primary point of contact and coordinator for their electrical apprenticeship programme. This person will manage apprentice communication, scheduling, paperwork, and integration within our teams, ensuring smooth operations and a positive training environment.

Key Responsibilities

Serve as first point of contact for current and prospective electrical apprentices.

*

Coordinate apprentice onboarding, documentation, employment contracts, and inductions.

*

Schedule apprentices for site work, training days, vocational college sessions, and assessments.

*

Maintain apprentice files, training records, certifications, and qualification deadlines.

*

Communicate with college tutors, assessors, client contacts, and internal teams regarding apprentice availability and progress.

*

Track apprenticeship milestones—e.g., EPA planning, progress reviews, compliance checks.

*

Arrange logistics: travel, accommodation, tools/equipment for apprentices on assignment.

*

Handle day-to-day office admin (phone, emails, reception, supplier liaison, order materials).

*

Support finance with invoice preparation for college fees, training costs, travel expenses.

*

Assist in HR admin: holiday records, expense claims, payroll data for apprentices.

*

Help implement and maintain office procedures to support a growing team in a dynamic electrical environment.

*

Occasionally support site admin: inspection & testing document control, contract filing.

Person Specification

Essential:

*

Prior administration experience in an office, training, or construction/trade environment.

*

Strong organisational skills with the ability to manage multiple apprentices and deadlines.

*

Excellent communication—verbal and written—with apprentices, tutors, and internal stakeholders.

*

High attention to detail for accurate record-keeping and compliance.

*

Proficient in Microsoft Office (Word, Excel, Outlook).

*

Ability to work proactively and independently within a small, specialised team.

Desirable:

*

Experience in electrical, engineering, or construction-related office roles.

*

Familiarity with apprenticeship processes, vocational colleges, and EPA coordination.

*

Basic knowledge of Renewable Energy schemes (e.g. solar PV, EV charger installations).

*

Experience with HR or payroll admin and invoicing in a small-business context
