We are recruiting for an organised and proactive IFA Administrator to join a supportive and experienced financial planning team. This is an excellent opportunity for someone with strong administrative skills who is looking to develop their career within a professional, client-focused environment.

You will play a key role in supporting a team of Independent Financial Advisers, ensuring clients receive a seamless and compliant service.

Role Overview

Reporting to the Senior Paraplanner, you will work as part of the IFA support team to provide high-quality administrative support across ongoing client advice, documentation, and back-office processes.

Key Responsibilities

Administration & Client Support

  • Maintain accurate and compliant client records within the back-office system
  • Assist with general administrative duties including emails, post, filing, scanning, letter writing and data entry
  • Handle client follow-ups and general enquiries
  • Prepare compliant annual review packs for advisers
  • Produce valuations for client meetings using various provider platforms
  • Prepare initial meeting packs for new client appointments
  • Support with Letters of Authority and manage incoming calls

Systems & Provider Liaison

  • Learn and use multiple back-office and provider systems
  • Liaise with product providers to obtain required information
  • Update internal databases and workflows accurately

Personal Development

  • Commit to continuous professional development
  • Maintain up-to-date knowledge and supporting CPD records

What You Bring

  • Minimum 2 years’ experience in an administrative role
  • Financial services experience preferred, but not essential
  • Excellent communication and interpersonal skills
  • Strong organisational and time-management abilities
  • Proficient in Microsoft Office (Word, Excel, Outlook)
  • Ability to multitask and prioritise effectively
  • A positive, professional and proactive attitude
